Job Duties
The Flexible Learning Administrator will provide professional support in the administration of programs and services offered by Continuing Education.

Under the direction of the Flexible Learning Consultant, assist in the administration of professional development, customized and contract training and provide support as required. Duties include classroom and lab scheduling and set-up; preparation of revenue and employee service contracts, costing and pricing forms, budget documents, course calendar, class lists, program evaluations, and producing and printing training manuals. Assist the Consultant in the co-ordination and monitoring of on-site and remote courses.

Work with Continuing Education instructors by assisting them in the acquisition and organization of resource materials required for programs and ensuring they have all equipment, handouts and administrative information necessary to delivery their courses.

Provide budgeting and financial forecasting expertise which includes analyzing and tracking cost center budgets, advising and recommending accordingly to the Flexible Learning Consultant, contributing to the development and implementation of the operating budget and annual financial business plan, preparing and tracking employee service contracts and other part-time positions, and using Saskatchewan Polytechnic web requisitioning process to pay invoices.

Upon receipt of general guidelines from FLC, prepare detailed cost estimates for programs and services. Complete all forms related to budget development and costing/pricing.

Continuously track all expenditures and revenues using a variety of systems including FAST, database, spreadsheets, Banner financial statements, etc. Ensure that programs/services are on target and on budget. Watch for incorrect entries and discrepancies.

Prepare financial action memos and payroll redistribution forms to move expenditures to correct org codes.

Develop and maintain spreadsheets to aid in preparing and summarizing financial information from multiple org codes.
-
Provide detailed information on programs, services and customized workshops to public, potential students, employers and external partners.

Independently consult and problem solve with other SaskPolytechnic staff regarding administrative and/or financial issues that may arise.

Ensure adequate classroom and office supplies are available. Prepare all purchase orders etc. for area. Decide on quantity and timing of purchases.

Assist the FLC in hiring instructors and prepare job postings and letters of offer.
-
Plan in conjunction with the FLC annual course planning, course scheduling in Banner. Monitor registration levels. Manage room bookings.

Assist instructors and FLC with Brightspace courses as needed.
-
Assist FLC in recruitment for courses, including ad preparation, monitoring the website and assisting with information sessions.

Troubleshoot problems interfering with students’ success – attendance, financial issues, etc.

Provide the FLC with enrolment trends, and other reporting as required.

Two years related post-secondary education that includes courses in office management and administration or an equivalent combination of training and experience.

Three years of experience in an administrative position.

Training or experience at the advanced level with common software packages, ie Microsoft Office

Intermediate accounting and marketing background.

Effective interpersonal skills.

Effective communication skills.

Effective organizational skills.

Ability to work independently under minimal supervision
