Assistant Recruitment Coordinator

How does the role impact the organization? Reporting to the Recruitment Coordinator, the Assistant Recruitment Coordinator supports service excellence to our internal and external candidates. This position provides current and future team members with support for a broad range of administrative needs such as, onboarding responding to inquiries, recruitment, and other general administrative duties.

What will your role be responsible for?

  • Create, publish and manage job postings for all vacant positions to capture strong candidates;
  • Create and maintain job templates;
  • Support the Coordinator and the recruitment team during the growth stage of the firm, including job requisition management and hosting screening interviews if need be;
  • Help with the onboarding process;
  • Liaise with payroll to ensure required documents are submitted in a timely manner as per set deadlines to pay employees accurately and on time;
  • Provide support for recruitment activities including, attending virtual and in-person recruitment events when necessary;
  • Request, order and analyze background checks for potential new hires;
  • Assist with the drafting of employment offer letters for candidates for various departments in the firm;
  • Address ad-hoc inquiries by candidates and new hires;
  • Help maintain the current needs tracker and keep it updated
  • Create engaging social media content and brainstorming new social initiatives to attract talent; and
  • Other duties as assigned.

What do we expect from you?

  • Demonstrate advanced face-to-face, email, videoconferencing, and telephone etiquette and relationship management skills;
  • Demonstrate a professional manner to establish and maintain effective working relationships at all levels of the organization;
  • A minimum of 1-2 years’ experience in a professional business environment; and
  • Previous experience within the financial services, investment, or brokerage industry is an asset.
  • Prior use of an Applicant Tracking System (ATS), specifically Taleo is an asset.
  • Work within deadlines in a high-volume and demanding environment while maintaining a high level of service and an imperative attention to detail;
  • MS Word, Excel, PowerPoint and Outlook; and
  • French and English at a bilingual level is an asset.
