Position Summary Human Resources Assistant, Human Resources: The HR Assistant plays a vital role in supporting the Human Resources department by managing daily inquiries from employees and external stakeholders. This position serves as a first point of contact for HR-related questions, ensuring timely and accurate responses while maintaining a high level of professionalism and confidentiality. A successful candidate for this role is highly organized, able to succeed in a fast-paced and high-volume client-facing environment, and is eager to engage with new challenges every single day. You also have excellent interpersonal and customer service skills, are able to work independently, and can effectively prioritize and multi-task. You demonstrate strong attention to detail, maintain confidentiality in handling sensitive information, and contribute positively to team dynamics. Your proactive approach and commitment to continuous improvement make you a valuable support to the HR department’s daily operations and long-term goals. You will also take on the shared responsibility for ensuring that health and safety policies are followed to provide for a healthy environment for patients, staff, physicians, volunteers and families.

On a practical level, you will

  • Provide clerical support by answering the telephone; relaying messages; maintaining equipment and supplies.
  • Organizing and completing invoices and expense forms for payment processing.
  • Respond to/redirect inquires made in person or through phone calls.
  • Coordinate meetings, prepare agendas, and document meeting minutes.
  • Prepare employment letters and respond to HR general inquiry outlook inbox and tracker.
  • Provide additional support for Recruitment Assistant and HR Associate tasks.
  • Maintain office equipment and general supplies and organizing and completing invoices and expense forms.
  • Interface between staff and HR associates; review/access in the HCM Oracle system to complete employee requests.
  • Support the interpretative services with respect to securing interpretation and translation services for requesting programs areas and patients.
  • Support HR projects with ad-hoc tasks as required.
  • Support requirements for adjacent departments as required.
  • Provide coverage on HR Operations team when needed.

Qualifications

  • Completion of related Post-Secondary Diploma/Certificate or a combination of relevant experience and education.
  • Strong verbal and written communication skills.
  • Experience working as a receptionist and/or in clerical functions in a setting serving the public and staff.
  • Experience responding to basic general staff related inquiries with regards to benefit. entitlements and have a basic understanding of where to retrieve information in order assist with inquiries.
  • Experience working with Information Systems (eg. HRIS, etc).
  • Ability to adapt seamlessly to fast-paced work setting to meet immediate targets and timelines.
  • Working-level knowledge of MS Office applications including Word and Excel, PowerPoint, Outlook.
  • Bilingualism in French/English an asset.

This is a Full Time Temporary position (4 Months), 8-hour shifts, 75 hours bi-weekly, Monday to Friday in the Human Resources department.
