MacEwan University is seeking an Academic Calendar Coordinator for a full-time continuing opportunity with the Office of the University Registrar (OUR).
Reporting to the Assistant Registrar, Scheduling & Curriculum Planning, the Academic Calendar Coordinator coordinates the development and publication of MacEwan University’s Academic Calendar. You will serve as the primary institutional resource for calendar content, ensuring academic regulations, program requirements, and course information align with approved governance decisions. Working closely with Faculties, Schools, and governance partners, you will support timely review and publication of content. You will also lead the Curriculum Changes Working Group, coordinating cross-OUR review of curriculum changes, impacts, and implementation, while maintaining the calendar as the university’s official academic record.
Key responsibilities include
Coordinating the annual production cycle for the academic calendar, including timelines, content collection, review, and publication; Reviewing, editing, and maintaining calendar content to ensure accuracy, clarity, consistency, and alignment with approved academic governance decisions; Overseeing the end-to-end coordination of curriculum changes from initial proposal through governance, calendar publication, and implementation readiness; Synthesizing input from multiple OUR units and stakeholders to support issue resolution and ensuring alignment prior to implementation; Building and maintaining effective working relationships with Faculty, School, and administrative calendar contributors and OUR units; Developing and maintaining guidance materials, standards, and resources to support calendar contributors and curriculum processes; Identifying and implementing improvements to calendar and curriculum lifecycle processes, tools, and workflows; and Contributing to initiatives related to curriculum management, governance processes, and digital tools.
Skills
You will have
A strong knowledge of academic programs, curriculum structures, and university governance processes; Excellent written communication skills, including editing and proofreading with high attention to detail; Strong analytical and problem-solving skills, with the ability to interpret and apply complex policies and procedures; Proven facilitation and coordination skills, including experience engaging diverse stakeholders to resolve issues and reach consensus; Strong organizational and project coordination skills, with the ability to manage multiple priorities and deadlines; Excellent interpersonal and relationship management skills, with the ability to work effectively in a decentralized, collaborative environment; Experience using content management systems and document tracking or workflow tools; and Experience with Curriculum Management (CourseLeaf) systems is considered an asset.
Qualifications
A minimum of an undergraduate degree. A minimum of 2 years of related experience in a post-secondary academic environment involving academic calendar management, curriculum administration, academic regulations, scheduling, or student records. Experience must include coordinating approved curriculum or policy changes, working with multiple stakeholders, and maintaining accuracy and compliance in official academic records. Experience working in a post-secondary environment, with experience in a registrar’s office considered and asset. Experience working with curriculum, or in a governance-related role. An equivalent combination of education and experience may be considered.
