About the role

As ATB Wealth’s next Manager, Portfolio Associates you will be responsible for ensuring exceptional client experience, accurate and timely processing, maintaining adequate internal controls and exceeding service level standards across the combined Investment Counsel and Institutional client segments. This position provides leadership through motivation, training and development of the Portfolio Associates team. The Manager will identify areas for operational improvement and liaise with Operations groups (ATBIM & ATBSI), and Investment Counselors/Portfolio Managers to successfully manage change and adoption. This position, through strong leadership to the Portfolio Associates, will ensure that timely and effective support is provided to Investment Counsellors in the ultimate service to clients.

The focus of the Manager is to provide effective leadership, direction and development of the Portfolio Associate team. Responsibilities include ongoing review and analysis of processes and procedures, continually ensuring guidelines and policies are understood and followed to a high degree of accuracy. This position collaborates with other leaders and management to implement plans that result in the efficient operation of the Investment Counsel and Institutional Support group.

Accountabilities

  • Leads the Portfolio Associate team in delivering quality support and service to Investment Counselors/Portfolio Managers and clients.
    • Provides coaching, leadership and direction to the Portfolio Associates.
    • Creates a culture of ownership and accountability, ensuring team members recognize their responsibility in the efficient fulfillment of all tasks to support the Investment Counselors/Portfolio Managers and their clients.
    • Serve as a resource for questions, inquiries and primary escalation point for the team.
    • Enhances employee engagement by promoting teamwork, communication and effectiveness in a positive and productive environment.
    • Conducts performance monitoring and management, compensation decisions and identification of training and development requirements.
    • Monitors staffing levels, including the selection and recruitment of qualified associates as vacancies and workloads demand, ensuring adequate staffing levels are maintained at all times.
    • Facilitates learning and development through team meetings, coaching, experiential burst etc.
    • Provides support continuity to Investment Counselors/Portfolio Managers as required.
  • Establishes strong working relationships with other ATB business unit leaders and partners to maintain high levels of service and to resolve client issues in a timely manner
    • Manages internal relationships with Operations teams to enable effective collaboration in the analysis and resolution of issues and concerns.
    • Leverages appropriate partners within the ecosystem for issue escalation and problem resolution.
    • Collaborates with the Managing Director, Investment Counselors/Portfolio Managers and other members of the business line regarding daily issues, process improvements, and relationship management.
  • Acts as a centre of excellence for Investment Counsel and Institutional Portfolio Management to increase efficiency and promote best practice solutions across the team.
    • Oversees administrative areas, to continually assess workflows to ensure efficient operations and compliance with all regulatory requirements and firm policies. Ensures the team adhere to applicable policies and procedures.
    • Investigates and addresses issues brought forward relating to the performance of the Portfolio Associate team.
    • Maintains expert knowledge and understanding of custodial and investment systems (i.e. Dataphile, PureWealth) along with associated processes and procedures; operating as a center of expertise for Investment Counsel/Portfolio Management in relation to administrative tasks.
    • Collaborates with the Managing Director and strategic support unit partners to improve processes and support projects and development in the Private Investment Counsel business line.

Skills, experience & requirements

  • Strong background in administration, preferably using a Portfolio Management System
  • Minimum 5 years ICPM member firm experience
  • Post secondary education preferred or equivalent related experience
  • Successful completion of Canadian Securities Course
  • Strong leadership, change management, coaching and team building skills, with the ability to foster a positive work environment
  • Excellent knowledge and understanding of policies pertaining to investment operations and financial/ sales compliance with the ability to translate strategic plans into tactical activities
  • Excellent customer service, communication, organizational and time management skills
  • Ability to develop creative solutions to problems
  • Readily adapts to changes in the organizational environment
  • Leads by example with a positive attitude and friendly personality
  • Strong work ethic with an ability to stay focused through periods of high volume and under demanding circumstances
  • Demonstrates a high level of accuracy and attention to detail
  • Effective relationship building, communication, and discovery skills with clients through virtual means while delivering exceptional client experience
  • An ability to work independently, as well as collaboratively in a team environment
  • Possess a sense of ownership and accountability for their quality of work
  • A highly organized work approach and are able to meet time sensitive deadlines
  • Exceptional written and verbal communication skills
  • Proficient with office computer software and hardware (Google,Pure Wealth, iBalance)
  • Completion and ongoing participation in supervisory/leadership courses is considered an asset
