About the role

The Administrative and Planning Assistant provides confidential professional, managerial, administrative and planning assistance, and is accountable for the overall management of the Offices. The incumbent liaises and communicates with the offices of the Dean, Associate Deans, and other administrative staff, support staff and faculty at TRU. The incumbent also liaises with provincial, external agencies, organizations and other institutions.

MAJOR RESPONSIBILITIES

  • Provide efficient day-to-day operation of the School of Nursing department, including signing authority for departmental requirements and requests.

  • Support the development and revision of courses and programs

  • Monitor courses and programs, and recommend change where appropriate

  • Supports the Associate Dean in the creation of partnerships, articulation, accreditation agreements and coordinates the signing of educational contracts with external agencies, and recommends change where appropriate to the TRU Legal Department

  • Prepares program reports for advisory, accreditation and faculty meetings

  • Analyses and initiates program improvements for program curriculum and procedures to ensure professional compliance in collaboration with the Associate Dean or delegate

  • Develops processes for adding and improving clinical placements.

  • Manage special projects and other assignments with initial direction from the Associate Dean and bring them to a successful conclusion with little or no additional support

  • Assist in facilitating planning engagements, workshops, open houses, and graduation events.

  • Support strategic planning and foresight initiatives

  • Conduct ongoing scanning to identify new trends and monitor how placement trends are evolving

  • Develop and regularly update trend documents and tools to support planning at TRU, such as admissions and graduation numbers, and reports

  • Develop infographics to support planning and reporting

  • Assist with coordinating schedules, contacting students, arranging interviews, and booking accommodation

  • Schedule appointments and meetings. Organize meeting, conference and retreat logistics, including preparation of agendas, arranging meeting time, location, food, accommodation and travel arrangements

  • Provide confidential, diplomatic and empathetic handling of sensitive situations as required

  • Sort and direct pertinent correspondence and reports flowing through the School of Nursing department. Recognize subject matter in need of tracking so it can be brought to completion. Proofread correspondence and reports

  • Prepare various confidential reports for management and/or Board of Governors, reports for public bodies; complete cheque requisitions; expense reports, assign financial codes, and help monitor financial commitments and expenditures.

QUALIFICATIONS

REQUIRED KNOWLEDGE/SKILLS

  • Bachelor's Degree in Business
  • Three to five years’ experience in an administrative role in a large public/private organization
  • Demonstrated ability to work tactfully and courteously with a diverse range of people from the senior administrative level to students, faculty and staff as well as a wide range of external contacts
  • Excellent computer skills in MS Word, Excel, PowerPoint, Adobe
  • Knowledge of Argos, Workflow, Banner, Curricunet Software and other external platforms such as the Criminal Records Review Program (CRC) and Health Science Placement Network (HSPnet)
  • Excellent communication skills; both oral and written and the ability to communicate effectively and tactfully with persons from diverse cultural backgrounds
  • Demonstrated ability to plan and organize work
  • Demonstrated time management skills
  • Ability to coordinate multiple schedules

  • Ability to act as a team leadith with strong commitment to collegiality and consensus building across organizational, disciplinary, and program boundaries.
