SSA Marine is seeking a permanent Quoting Coordinator to join our Lynnterm team. This full-time, permanent position is based at our office in North Vancouver and reports to the Manager, Business Development.
The Position
The Quoting Coordinator’s position is responsible for a variety of tasks including, working closely with commodity managers to provide rate inquiries and quotations, and for the administration of various Contracts. This position works closely with the Operations Managers (ex. Steel Manager) to ensure services and quotations and rates are provided in a timely and accurate manner.
You will be part of a motivated and diverse team and will have a high degree of interaction with all employees throughout the organization.
Responsibilities & Activities
- Handle and respond to rate inquiries from shipping lines, freight forwarders, shippers, and others, including preparing costings and rate quotations.
- Coordinate with marketing, operations managers, dock superintendents, and business development on handling methods, equipment needs,labour, and special cargo requirements.
- Prepare, issue, track, and file rate quotations, ensuring consistency with previous shipments and accurate system records.
- Support dock operations and new business by costing labour, equipment, and materials, and analyzing quoted vs. actual performance and productivity.
- Review bills of lading to identify new customers or commodities, confirm billing parties, and proactively prepare quotations.
- Administer contracts by maintaining tariffs, agreements, escalation letters, rate updates, and accurate contract records across systems and files.
- Manage pulp, lumber, steel, and general cargo rates, including data entry, contract schedules, tariff updates, and customer notifications.
- Coordinate withPortAuthority on lease-related revenue items, wharfage, berth agreements, and reporting of cargo tonnage changes.
- Improve efficiency by streamlining documentation processes,leveragingtechnology, andeliminatinglow-value activities while supporting customer needs.
- Provide operational, billing, and data-entry support across teams, ensuringaccurateinventory, invoicing, reporting, and decision-making information.
- Position is considered for a hybrid work from home (WFH) per the company policy.
- Be able to respond to emergency situations (e.g. Workplace Harassment & Violence Prevention) and ensure internal communication protocol is followed, as required.
- High level of concentration, attentional to detail, and mental fatigue.
Qualifications & Skills
The role requires regular, collaborative communication with internal stakeholders—including Operations, Commodity Managers, and Finance—as well as effective engagement with major external customers. It also demands strong problem‑solving skills to resolve invoicing and contract issues, the ability to analyze and work with complex customer contracts, and the flexibility to work both independently and as part of a team. Strong organizational and multitasking skills, along with curiosity, tenacity, and a desire to learn and deepen understanding of terminal operations, are essential.
- Post-Secondary education with a preferred focus on transportation, distribution or accounting and business
- Experience working with complex contracts
- Experience with supporting multi-site business operations is an asset
- Experience in the waterfront (terminals, stevedoring, warehousing, transportation) industry an asset
- Excellent communication skills needed to deal with a wide-ranging audience
- Strong technical skills (Office 365, Word, Excel, PowerPoint, Social Channels)
