Position purpose:

Reporting to the Senior Specialist, Academic Program Management, plans, organizes, executes and continually improves areas related to program delivery. Implements plans and deliverables based on strategies to achieve program objectives and promote service excellence. Ensures strong collaboration among program staff and implements processes and procedures to optimize resources that further student and program success.

In this role, your responsibilities will include:

  • Management of program operations: Supervises operations (courses, workshops, training and activities) needed to support program delivery, including administrative and financial tasks, resource allocation, oversight and communication. Co-ordinates shared activities as part of joint projects within the program, optimizing resources and communication.
  • Student support: Examines student needs, interpretation, analysis and lists, and ensures they comply with University and Faculty processes. Consults colleagues and meets students periodically to better determine their needs.
  • Management of student practicums : Ensures that databases are updated (students, associate teachers, stakeholders, placements). Determines student placements (alone or with authorities), ensuring compliance with OCT and program requirements. Supports and monitors student progress, ensuring that necessary corrective measures are taken to improve student retention.
  • Planning: Assists with needs analysis and strategic planning, proposing innovative ideas and providing factual information on program delivery. Helps formulate short-, medium- and long-term business plans based on program needs and overall objectives. Determines risks and applies contingency measures to ensure program continuity. Identifies and recommends main resources (human, material, financial and space-related) needed to meet program objectives.
  • Continuous improvement: Helps develop main indicators for performance evaluation based on program objectives and conducts timely followup. Monitors trends and norms in the field, proposing innovations in program planning and delivery, to achieve service excellence. Works with the program director, other co-ordinators and other Faculty members, to offer a high-quality student experience.
  • Human resources management: Supervises program operations staff (as necessary). Manages recruitment, skills upgrading, performance and workplace conflicts for own staff. Helps recruit teaching staff (unionized and non-unionized) who deliver courses or supervise practicum students.
  • Program promotion: Acts as a program ambassador, promoting own role, along with program uniqueness and achievements. Demonstrates the link between program objectives and the Faculty’s overall vision, while protecting and maintaining the program’s reputation.

What you will bring:

  • Bachelor’s in a field related to the main program activities
  • Three years’ relevant experience in program or project management
  • Experience in interpreting performance metrics to support evidence-based decision-making
  • Ability to work effectively in an environment where activities move quickly, requirements are stringent and deadlines are strict
  • Excellent organizational skills, to manage various aspects of ongoing activities
  • Ability to simplify and explain regulations and procedures
  • Ability to collaborate with various stakeholders, often remotely
  • Excellent interpersonal and communication skills
