About the role

Position Purpose and Summary

The Coordinator, People & Culture - Advisory Services provides administrative support for the full talent acquisition cycle from pre-recruitment to post-recruitment activities. This position supports hiring managers and candidates throughout the recruitment process, coordinates onboarding activities, and manages student employment processes. Reporting to the Associate Director, People & Culture - Advisory Services, this role ensures efficient HR Advisory operations and contributes to a positive candidate and new hire experience.

Key Areas of Accountability

1. P&C Advisory Services Administrative Service and Support

  • Respond to, or redirect, general inquiries received by all channels of communication (i.e. phone, email, fax, mail, walk-in, 'chat' etc.)
  • Support in coordinating events, meetings and supporting activities/materials as required
  • Respond to P&C Help Desk requests by processing requests via response or redirection as appropriate
  • Coordinate and perform office administration activities including, but not limited to, collecting various correspondence from/for clients and/or P&C team members, assisting with contract coordination
  • May provide occasional back-up support to the Coordinator, People & Culture by providing friendly, efficient and confidential administrative service for the P&C Team, including daily reception services such as greeting walk-in guests and managing the general phone line and email account
  • Provide coverage for Advisors during periods of absence (ie, vacation, sick leave, or other out-of office situations), ensuring continuity of service and support to employees and managers
  • Provide support to Advisors in select employee relations matters as needed, including documentation, coordinator, and follow-up.

2. Recruitment Support

  • Assist with job posting creation and publication on various recruitment platforms
  • Coordinate the application review process, including initial resume screening
  • Conduct preliminary phone screenings with potential candidates
  • Schedule and coordinate interviews between candidates and hiring teams
  • Complete reference checks for potential hires

3. Onboarding & Orientation

  • Assist in the hiring and onboarding process for new employees, including creating email accounts, and supporting other administrative onboarding tasks
  • Coordinate and facilitate new hire orientation sessions for employees
  • Arrange and coordinate headshot photography sessions and campus tours for new employees
  • Provide support in coordinating and administering performance reviews for new employees by tracking timelines, assisting managers as needed, and ensuring reviews are completed and documented appropriately.
  • Support in the offboarding process for employees including exit interviews and other tasks

4. Student Employment Administration

  • Support with the overall operation of TWU Student Employment
  • Complete recruitment cycle and other administrative processes to facilitate student employment. This includes overseeing the approval process, creating job postings and employment agreements for student employees.
  • Maintain accurate and up-to-date student employment records.
  • Maintain HRIS and troubleshoot timecard issues for student employees.
  • Coordinate group or individual student training sessions as needed and facilitate feedback for student employees.
  • Support the student employee hiring process by partnering with managers to ensure compliance with established procedures, timely and accurate creation of contracts, and adherence to institutional policies and timelines.

Standards & Requirements

Education and Certifications

  • Bachelor's degree in a related field of study required.

Experience

  • 1-2 years of relevant office administration experience required.
  • Experience working in human resources and/or supporting the recruitment process preferred.
