About the role
Harbor is seeking a Project Coordinator to support our legal technology and operations group. The Project Coordinator plays a critical operational support role within the Project Management Office (PMO), ensuring projects are set up for success through accurate administration, resource coordination, and governance adherence. This role supports Project Managers, Team Leads, and Solution Line leadership by handling the administrative backbone of project delivery.
This position is essential to delivering against PMO and broader LT+O Practice Group goals. The Coordinator also supports the Sales-to-Service handoff, ensuring a smooth transition from opportunity to delivery by facilitating initial project setup and resource assignments. This is a full-time position that can be worked remotely from anywhere in Canada, the United States or the United Kingdom (must have proper work authorization).
Job Duties and Responsibilities**:**
- Resource Management & Assignment Coordination
- Facilitate the initial assignment of resources when an opportunity becomes Closed Won by working with Project Managers, Team Leads, and Solution Line leadership on prompt scheduling of resources.
- Maintain accurate and current project rosters in Cloud Coach throughout the life of the engagement.
- Track changes to staffing and assist in addressing conflicts, overallocations, and forecast discrepancies.
- Partner with PMs to ensure accurate and timely resource updates in Cloud Coach. Client Engagement and Communication
- Time Entry & Compliance Monitoring
- Monitor time entry compliance across assigned teams and projects.
- Follow up with individuals on missing or misaligned time entries.
- Support PMs and Team Leads by preparing time data for forecasting and invoice approval.
- Invoice & Financial Administration
- Review submitted time prior to invoice generation for completeness and accuracy.
- Coordinate with Finance and PMs to route invoices for approval and documentation retention.
- Help resolve billing discrepancies and gather backup materials (timesheets, budget build ups, SOWs, CRs).
- Project Administration & Documentation
- Support end-to-end project setup, including Cloud Coach Updates and project setup, template deployment, file/folder structure creation, and access permissions.
- Maintain project documentation such as status reports, RAID logs, trackers, and budget summaries.
- Assist with project closeout activities, ensuring project closure checklist completion and archiving deliverables. Budget Management
- PMO Governance & Practice Group Support
- Support PMO governance by monitoring adherence to playbook standards and reporting requirements.
- Help track key performance metrics (e.g., utilization, forecast accuracy, status compliance).
- Maintain central knowledge base of templates, lessons learned, and reusable assets.
- Assist in PMO- or Practice Group-led initiatives, audits, or process improvement efforts.
Education, Experience, and Other Requirements:
- 2+ years experience supporting project delivery in a client-facing professional services environment
- Resourcing and project management experience preferred
- Four-year degree or equivalent combination of experience and education preferred
- Cloud Coach and NetSuite experience a plus!
- Proficient in project management or PSA tools (e.g., Salesforce, Cloud Coach, Smartsheet, Excel)
- Problem solver with critical thinking skills
- Detail-oriented with strong organizational skills required
- Able to manage competing priorities with professionalism and discretion
- Excellent communication and follow-up abilities
- Reliable team-player
