Shipping and Receiving Clerk

Reports to the Assistant Shipping Manager. The Shipping and Receiving Clerk will handle all administrative tasks related to Shipping to ensure all products are shipped and receive in a timely manner. Duties and responsibilities include but are not limited to the following:

Education

• High school diploma or equivalent.

Years of Experience

• 1+ years of work experience in a manufacturing clerical role.

Working Conditions

• On site work environment involves some exposure to hazards of physical risks that require knowledge of and adherence to basic safety procedures;
• Work environment requires having construction safety footwear, safety glasses and hard hat for all site work in certain other locations; and
• Flexible to work weekends or overtime as requested.

Intermediate Level

• Ability to multi-task and prioritize tasks in a fast-paced environment;
• Write letters. memos and emails;
• Communication with coworkers daily by telephone, email and in person;
• Proficient in Microsoft Office and Outlook;
• Excellent verbal and written communication skills;
• Strong attention to detail and organized skills;
• Ability to prioritize and work well in a fast-paced environment;
• Knowledge of Sage is an asset;
• Demonstrate State's core values and work in a team environment; and
• Ability to work independently without supervision.

Job Specific Duties

• Receive and process all paperwork related to the Shipping and Receiving department;
• Coordinate with Production and Quality to ensure that all items are shipped and received in a timely matter;
• Prepare trip sheets for shipments daily;
• Track shipping deficiencies;
• Report and log any logistics issues to Operations and Project Managers;
• Be part of the daily project team meeting to develop the daily/weekly shipping plan;
• Responsible for maintaining inventory lists, offsite storage and inhouse inventory related to shipping;
• Release trucks and ensure shipments are loaded properly to be sent to site;
• Receive paperwork from Forklift Operators confirming that all orders have been received;
• Prepare labels for shipments;
• Keep a clean and safe working environment and optimize space utilization;
• Assist in inventory management and participate in Sage training as required;
• Follow proper procedures to validate purchase orders;
• Ensure that there is enough storage space for incoming items;
• Contact customers and suppliers related to all shipping and receiving inquiries;
• Receive and coordinate all FedEx deliveries and shipments;
• Receive materials and inspect incoming shipments for condition and completeness of the received order;
• Staging of materials and inspect incoming shipments for condition and completeness of the received order;
• Staging of materials in the plant for processing;
• Prepare customer orders by ensuring completeness of the shipment, proper protective packaging and accurate shipping documents;
• Oversee inventory storage and handling for identification, protection and placement;
• Resolve any issues arising in the shipping department; and
• Other tasks assigned by the Assistant Shipping Supervisor.
