Summary Job Description
The Commercial Property Administrator provides comprehensive administrative and operational support in the day-to-day management of the commercial real estate portfolio. The Administrator ensures the accuracy of financial processing, supports lease administration, coordinates vendor activities, and delivers exceptional service to tenants and stakeholders. Working closely with the Property Manager, the Commercial Property Administrator maintains efficient property operations and upholds Company standards for service, compliance, and reporting.
Salary: $50,000 - $55,000 per year
Financial Administration What you'll get to do:
- Process rent collections, post cheques, and apply payments to resident accounts.
- Review and reconcile monthly recurring charges and resident billings.
- Assist with expense tracking, and variance reporting.
Lease & Tenant Management
- Read and interpret lease agreements to ensure accurate data entry and compliance.
- Maintain resident records, insurance certificates, and emergency contact details.
- Prepare resident correspondence, notices, and documentation as required.
- Respond to resident inquiries promptly and professionally, escalating issues to the Property Manager when necessary.
Vendor & Contractor Coordination
- Process vendor invoices (coding, matching, and batching) in compliance with budget schedules.
- Liaise with contractors for maintenance and repairs as directed by the Property Manager.
Operational Support
- Monitor vacant unit utility accounts and ensure proper billing setup.
- Maintain security deposit reports and other compliance documentation.
- Support special projects and administrative initiatives as required.
Reporting
- Generate weekly accounts receivable status reports.
- Prepare and distribute commercial reports using property management software (e.g., Yardi).
Who You Are
- Diploma in Business Administration or related field
- Two to three (2-3) years in property management or administrative role
- Proficiency in property management software (Yardi preferred) and Microsoft Office Suite.
- General understanding of accounting principles and lease administration.
- Excellent organizational skills, attention to detail, and ability to manage multiple priorities.
- Effective communication and interpersonal skills with a customer-focused approach.
