Responsibilities

As an integral member of the Department of Psychology’s administrative team, the Program Assistant reports directly to the Administrative Officer, taking direction on academic matters from the Undergraduate Program Chair and Department Chair. The Program Assistant exercises initiative and judgment in the performance of tasks related to the position and has primary responsibility for the provision of administrative support of undergraduate programs and the advising of students within departmental guidelines. In particular, this position supports the recruitment, add/drop and adjudication processes within the undergraduate portfolio. The Program Assistant works closely with all members of the Department in support of the Department’s strategic direction and ensures the accurate communication of information regarding its undergraduate programs.

Qualifications

Education:

  • 3 year university bachelor’s degree, preferably in business administration or psychology

Experience:

  • 3 years administrative experience in an academic environment providing customer service
  • Previous experience working with students is preferred

Knowledge, Skills & Abilities:

  • Excellent verbal and written communication skills with the ability to listen, inform, explain, and advise students on academic processes and regulations
  • Working knowledge of University policies and department practices preferred
  • A strong record of teamwork with the motivation and ability to work independently with little supervision
  • Ability to process information with a high degree of accuracy
  • Ability to work independently and maintain direction and focus through proactive planning and organized approaches to work
  • Strong problem-solving skills with the ability to research/investigate issues and resolve problems
  • Knowledge of general office procedures including records management systems
  • Intermediate computer skills in Microsoft Office suite
  • Strong customer service skills to handle enquiries and resolve issues in a professional and timely manner
  • Ability to work in a fast-paced environment, meet tight deadlines and adapt to growth and change
  • Ability to multi-task and maintain an organized and effective personal work environment.
