This is an on-site administrative assistant role in Mississauga, reporting to an Executive Leader in Engineering. The main goal is to manage the executive's day-to-day operations, including travel, expenses, and a busy agenda. You will serve as the primary point of contact and liaison for internal and external communications. This role has immense room for growth and development, making it ideal for an ambitious candidate who has great communication skills, is curious, professional, and enjoys multitasking.
What will your day-to-day look like?
- Manage the customer visits.
- Manage travel arrangements.
- Prepare and follow up on expense reports.
- Maintain and coordinate the agenda.
- Serve as primary point of contact and liaison for internal and external contacts.
- Provide “gate keeper” and “gateway” role to provide bridge for smooth communication between executive, direct reports and colleagues.
- Work closely with executives to keep them well informed of upcoming commitments and responsibilities.
- Coordinate meetings/conference calls and prepare related documents to this effect.
- Redact correspondence and do translations (if required).
- Work closely with direct reports.
- Maintain and organize files and filing systems.
- Work in close collaboration with other Administrative Assistants, in relationships that promote mutual respect; in order to share the workload and ensure the responsibility of organizing specific activities.
- Follow existing processes and procedures and occasionally contribute to updating and improving them.
What do you need to be successful?
- Proven experience as an administrative assistant or similar roles with a large operations team, with at least 2 years of experience.
- Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
- Strong attention to detail and accuracy in all work.
- Proficiency in Microsoft Office Suite (Teams, Sharepoint, Excel, Word PowerPoint, Outlook) and other office software.
- Ability to handle sensitive and confidential information with discretion.
- Strong interpersonal skills and the ability to work effectively with people at all levels of the organization.
- Ability to work independently with minimal supervision and as part of a team.
- Flexibility to adapt to changing priorities and work schedules.
- Previous experience in a senior administrative support role is a plus
- Advance level of English (required), French (a plus).
