As the Division Information Management (IM) Coordinator, you will support the Water IM team in developing and maintaining a comprehensive IM program across the Water Utility. As an embedded resource in the Water Treatment division, you will provide support and expertise to IM users and information stewards in records management (electronic and physical), ensure compliance with all relevant policies and legislation, and plan and deliver business improvement initiatives. Primary duties include:

  • Act as an IM subject matter expert for Water Treatment, ensuring IM governance and interpreting policy to meet divisional business requirements.
  • Act as the Division Records Management Coordinator, responsible for managing both physical and electronic records - including IM requests, regular audits, filing procedures, the vital records program, and all retention and disposition requirements set out in the Corporate Records Classification and Retention Schedule (CRCRS).
  • Support the execution of information transfers, reorganizations, and changes related to divisional restructuring.
  • Build, support and administer electronic libraries such as Content Server and PolicyTech for Water Treatment, including a capital project file system and specialized documentation repositories.
  • Support the Access to Information Act (ATIA) and Protection of Privacy Act (POPA) (formerly called FOIP) program as a Divisional liaison.
  • Assist in the development, implementation and maintenance of the IM program within Water Services and represent Water Treatment in IM Communities of Practice.
  • Maintain critical records for emergency response and ensure information management practices meet organizational and regulatory expectations.
  • Create performance metrics, dashboards, and trend analyses to support decision-making and continuous improvement.

Qualifications

  • A completed 1 year certificate and at least 5 years of experience in Records and Information Management; OR
  • A completed 2 year diploma and at least 3 years of experience in Records and Information Management.
  • Experience using electronic information management applications and a basic understanding of the OpenText Content Server (or equivalent) is required.
  • A valid class 5 driver's licence (or provincial equivalent) and the occasional use of a personal vehicle for business use is required.
  • Intermediate proficiency with Microsoft Office (Word, Excel, PowerPoint) would be considered an asset.
  • Comprehensive knowledge and theoretical understanding of complex and confidential documents, information management and legislative environments, along with a working knowledge of ATIA and POPA legislation.
  • Success in this position requires strong interpersonal and organizational skills, excellent communication skills, ability to work collaboratively with a variety of parties, and the independence to plan and organize own work with minimal supervision or direction.
