We are seeking an organized, outgoing, and friendlyOffice Administrative Assistantto join our team full-time. As the face of our company, you will be the first point of contact for clients and guests (by phone and in person) while keeping our office running smoothly behind the scenes.

This is a varied role that suits someone who takes pride in being the go-to person, from supporting project teams to managing vendors and keeping both office and field operations on track.

Job Summary:

As theOffice Administrative Assistant, you will be responsible for providing a friendly and professional experience to clients and guests while delivering broad administrative support across reception, accounting, fleet and vendor management, and project coordination.

Roles and Responsibilities:

  • Answer, screen, and direct incoming phone calls in a friendly and professional manner
  • Greet and assist clients, guests, and vendors upon arrival
  • Manage incoming and outgoing mail, courier arrangements, and deliveries
  • Receive shipments and redirect them to the correct job sites, coordinating with delivery drivers on site addresses and unloading instructions
  • Maintain and order office and kitchen supplies
  • Schedule meetings and make travel arrangements as needed
  • Oversee general building and office maintenance, escalating issues as required
  • Manage and order company swag and branded items (e.g., laptop bags, shirts, and promotional materials)

Accounting & Finance Support

  • Process accounts payable and support general accounting functions
  • Reconcile purchase orders (PO reconciliations)
  • Process credit card payments and deposit cheques
  • Manage expense reporting - collect receipts, maintain expense spreadsheets, and match invoices to receipts

Fleet & Vendor Management

  • Maintain vehicle maintenance records and manage company gas cards, including tracking and reconciling invoices
  • Manage the company’s cell phone account (Telus Mobility) - coordinate device orders, handle invoices, and keep account information organized
  • Oversee the water cooler program for office and job sites - manage deliveries, relocations, service calls, and cancellations as needed

Project & Team Support

  • Support Project Managers and Project Coordinators with project-related administrative tasks

  • Manage the company safety prize program

  • Assist with planning and organizing company social events, including monthly activities and the annual Christmas party

  • Provide ad-hoc administrative support and take on other duties as assigned

Job Requirements:

  • Minimum 2 years’ experience in a similar administrative or office management role

  • Strong computer skills, including Microsoft Outlook, Word, and Excel

  • Experience with Spectrum Construction Software is a definite asset

  • Exceptional communication, customer service, and multitasking skills

  • Excellent command of English, both written and verbal

  • Highly organized, self-motivated, and comfortable managing a wide variety of responsibilities

  • A calm, solutions-oriented approach when things get busy
