About the Job

We are looking for a highly organized and proactive administrative assistant to join the team at our Vancouver office. This role is ideal for someone who enjoys variety in their work, thrives in a fast-paced environment, and takes pride in supporting both people and operations. The successful candidate will play an important role in keeping our office running smoothly while providing administrative, logistics, travel, and event coordination support across the organization.

Essential Duties and Responsibilities

As an administrative assistant, you'll play an important role in supporting our team through: Coordinating incoming and outgoing mail, courier services, shipping, and deliveries between offices and project sites. Assisting with travel and logistics coordination, including booking flights, ferries, accommodations, vehicle rentals, and related travel and hotel arrangements for the management. Supporting the shipment, tracking, and delivery of equipment, materials, IT hardware, and office supplies to project sites throughout British Columbia. Coordinating employee onboarding logistics, including preparing first-day packages, arranging equipment setup, and ensuring new hires have the tools they need to succeed. Serving as a liaison with vendors, service providers, property management, and internal stakeholders to support day-to-day office operations. Managing office supplies, furniture, equipment, access cards, keys, and workplace inventory. Coordinating office maintenance requests and helping maintain a professional, organized, and welcoming work environment. Assisting with the planning and execution of company meetings, employee events, social functions, conferences, and industry events. Supporting company branding initiatives through the coordination of corporate merchandise, employee headshots, LinkedIn updates, and other marketing-related activities as needed. Maintaining company organizational resources, including employee contact lists and organizational charts. Assisting with employee engagement initiatives, surveys, and special projects while providing administrative support across multiple departments. Planning, organizing, and executing company events, meetings, and social functions.

Qualifications & Experience

2+ years of administrative, office coordination, or related experience. Experience coordinating travel, logistics, or operational activities. Excellent organizational skills with strong attention to detail. Strong verbal and written communication skills. Proficiency in Microsoft Office Suite, including Outlook, Word, Excel, and Teams. Ability to manage multiple priorities while maintaining accuracy and professionalism. Strong interpersonal skills and the ability to build positive working relationships at all levels of the organization. Administrative experience in the construction, engineering, marine, or related industries is considered an asset.

Work schedule

Monday to Friday; 40 hours per week. If requested, one work-from-home day can be accommodated.
