School Secretary
Roland Michener Secondary School
Roland Michener Secondary School is located in the town of Slave Lake in northern Alberta, in the Municipal District of Lesser Slave River. It is located 257 km north of Edmonton on the southeast shore of Lesser Slave Lake at the junction of Highway 2 and Highway 88.
Roland Michener Secondary School is a Grade 7 to 12 school with an enrollment of approximately 620 students and 60 staff. We are committed to ensuring a welcoming, caring, respectful and safe learning environments that respect diversity and nurture a sense of belonging and a positive sense of self. Our school offers full academic and special education programs in an effort to foster hope and to inspire success. We are also proud to offer a wide range of options, that includes Industrial Arts, Foods, Cosmo, Art, Drama, Instrumental Music and more.
Duties include, but not limited to:
- Provide clerical and administrative support to the principal, vice-principal and teaching staff as directed.
- Maintain the integrity of databases and office files. Maintain records with a high degree of accuracy.
- Manage multi-line phone systems, scanners and photocopiers. Perform general office duties such as answering telephone inquiries, filing, and spreadsheets and prepare answers to routine letters. Perform data entry.
- Act as first point-of-contact to callers, relay messages, and transfer calls as appropriate
- Welcomes visitors to the school and direct them to the appropriate person according to their needs.
- Coordinate appropriate documents for communication with Central Office. Complete forms in accordance with school and district procedures, following education legislation.
- Test, operate, promote and troubleshoot new office technologies as they are developed and implemented.
- Contact parents in the event of student illness.
- Student Registration (new students and returning students update every year).
- Administrate and maintain data in the student information system with a high degree of accuracy.
- Administrate and maintain student data in Alberta Education System (PASI) with a high degree of accuracy.
- Track attendance and absences; use reporting software, make phone calls as appropriate and generate reports for internal and external use. Maintain student records. Mail/email student report cards and other necessary forms. Support scheduling/timetabling.
Other duties as assigned by Administrator(s).
Must be able to:
- Respond gently and keep a calm demeanor with disgruntled callers.
- Handle stressful situations.
- Endure many interruptions.
- Maintain student and staff confidentiality in all circumstances.
Financial
- Support completion of payroll, benefits, petty cash and school funds transactions and recordkeeping.
- Prepare and process payroll accounts receivable billings. Prepare and process accounts payable documentation.
- Support budget decisions through accurate, timely recordkeeping.
- Administer data in the payroll computer system.
- Reconcile bank accounts. Reconcile Visa transactions monthly & review weekly.
- Accepts and processes school payments from parents and organizations.
- Make bank deposits. Weekly Journal Entries.
- Monthly remittance to Central Office. Prepare timesheets.

High Prairie School Division, located in north-central Alberta, provides comprehensive educational programs and services to approximately 3200 students, kindergarten through to Grade 12. Its educational enterprise is carried out in 13 schools located in the communities of Falher, Donnelly, High Prairie, Joussard, Kinuso and Slave Lake. Approximately 550 full and part-time employees, including educational assistants, secretaries, librarians, janitors, maintenance personnel, bus drivers, mechanics, education specialists and Learning Support Centre administrators and personnel, directly supplement the endeavours of over 200 school-based teachers and administrators. Seven trustees elected by parents and taxpayers of the Division’s four subdivisions provide governance and overall direction.
