Position Summary
This position oversees the Room Booking and Space Management business unit within the Facilities Management Department and supports the College’s space management strategies. The position administers and maintains campus space data for all current and future College owned and leased space utilizing best business practices including monitoring, analyzing, and reporting on space inventory, utilization, and requests, as well as coordinating changes in space assignments and use.
Duties & Responsibilities

Oversees the day-to-day operations of room booking and space management across multiple campus locations, ensuring efficient scheduling, optimal utilization and consistent application of management policies, processes and best practices, while assisting with Room Booking during peak times.

Supervises, plans, assigns, schedules and trains Room Booking Coordinator and Coordinator, Filming and Events. Reviews and evaluates work to promote continuous improvement and high-quality service delivery.

Generates, assesses, and implements benchmarking reports related to building and departmental data, occupancy, and space utilization metrics to increase real estate efficiencies and reduce operating costs.

Collaborates with employees across VCC to access data, ensure the collection, use and retention of appropriate data, enrich solution development and ensure alignment with college policies, procedures, and plans.

Supports Director, Facilities Management in optimizing the use of the existing campuses by developing and implementing a space management program, in alignment with VCC’s Strategic Innovation Plan (SIP).

Manages and provides oversight of VCC’s Facilities Inventory System (FIS), including provision of accurate and detailed data on ownership, portability, space, and station types, codes, descriptions, total areas, use, equipment, and Notional Student Stations (NSS).

Responsible for maintaining Ministry reporting compliance by creating and submitting timely FIS data reports and managing timely updating Property Inventory Management System (PIMS).

Liaises directly with the Ministry of Post-Secondary Education and Future Skills, the Ministry of Infrastructure and other public sector entities.

Creates, implements, and manages on-site space inventory assessments to verify all space uses, on a 2-year planned review cycle and conducts process reviews and/or audits for quality improvement.

Collaborates with Capital Planning team to document and update space use and layout changes resulting from construction, renovation or departmental shifts.
-
Generates, tests and analyzes space utilization reports using EMS, FIS and Banner to evaluate building, departmental and occupancy data to identify trends, improve efficiency and inform space use and real estate optimization.

Trains academic and non-academic key department staff in procedures, processes, planning and scheduling related to room booking.
-
Builds and maintains relationships with internal and external stakeholders to exchange information, coordinate activities, and resolve issues related to room booking and space management.
-
Manages software updates and upgrades, including adding data, conducting system tests, and deploying the software, ensuring coordination with stakeholders.
-
Controls and authorizes expenditure in accordance with established limitations and procurement policies.
-
Manages contracts and projects effectively and simultaneously as required.
-
Assists in the development of programs and capital projects, as required.
-
Performs other duties as required.
Qualifications
Education and Experience
- Two Year post-secondary diploma in Facilities Management, Business Administration, or a related field.
- Over three years of room booking and space management experience in a public post-secondary or similar environment.
- OR an equivalent combination of training and/or experience may be substituted for the required qualifications.

Proven ability to plan, organize, and prioritize work to meet deadlines while maintaining accuracy and attention to detail, including the ability to multitask and adapt to changing priorities and perform under pressure.

Ability to read blueprints and sketches.

Proficiency with computers, particularly with facilities, room booking and space management software.

Experience using MS Office suite software (Word, Excel, Access, PowerPoint).

Experience using FAST WebReq, FAST Financial, Banner, and space management software (EMS).

Knowledge of Workplace Hazardous Materials Information System (WHMIS) and Operational Health and Safety (OHS) practices.

Ability to travel between campuses.
Salary Range - Prorated based on FTE
Pay Grade 24 – $32.92 – $38.56 hourly ($2,304.78 – $2,699.33 bi-weekly)
