The Position
We are seeking an experienced Senior Specification Writer to develop, coordinate, and manage high-quality architectural specifications for a diverse range of clients and building projects. The successful candidate will bring strong technical knowledge of construction materials, building systems, industry standards, and contract documentation. This role requires the ability to collaborate closely with owners, architects, developers, engineers, consultants, manufacturers, and project teams to translate design intent and technical requirements into clear, accurate, and coordinated specifications. In addition to technical specification writing, the Senior Specification Writer will play a client-facing role, helping develop project opportunities, prepare proposals, build strong client relationships, and ensure successful delivery of specification services. Candidates must hold a Certified Specification Practitioner (CSP) designation and have a minimum of 3 years of professional specification writing experience.
Key Responsibilities
Prepare, edit, coordinate, and maintain comprehensive architectural specifications for projects of varying size, type, and complexity and in all provinces and territories of Canada. Develop project specifications using industry-standard formats, including MasterFormat and SectionFormat. Review architectural and other discipline drawings, schedules, design documentation, and consultant information to ensure specifications are complete and coordinated with all project requirements. Work collaboratively with owners, architects, developers, engineers, project managers, and other consultants throughout design and documentation phases. Research and evaluate building products, materials, systems, standards, and manufacturers to determine appropriate specification requirements. Identify discrepancies, omissions, and coordination issues between drawings and specifications and work with project teams to resolve them. Develop and maintain office master specifications, templates, technical standards, and specification libraries. Incorporate applicable building codes, standards, sustainability programs, accessibility requirements, and industry best practices into project specifications on a provincial, territorial, and national level as required. Provide technical guidance to project teams regarding product selection, specification strategy, substitutions, and procurement requirements. Review manufacturer product information and technical documentation for compliance with project requirements. Support tender, procurement, and construction administration activities by responding to specification-related questions and clarifications. Monitor changes to codes, standards, products, materials, and construction practices that may affect specifications. Mentor and provide technical guidance to junior specification writers and other members of the project team. Help establish and continuously improve specification-writing processes, quality-control procedures, and documentation standards. Prepare project proposals, scopes of work, and fee estimates for specification services. Support business development activities by identifying and pursuing new project opportunities with existing and prospective clients. Build and maintain strong, positive relationships with clients and industry partners. Manage client expectations and ensure high-quality project deliverables are completed accurately and on time.
Skills & Experience
Certified Specification Practitioner (CSP) designation required. Minimum 3 years of professional experience writing architectural specifications. Strong knowledge of Canadian construction documentation, materials, products, systems, various building construction methods, and contract types. Demonstrated experience preparing architectural specifications and coordinating specifications across multiple disciplines and building systems to compile final Project Manuals. Strong working knowledge of MasterFormat, SectionFormat/PageFormat, and industry specification practices. Understanding of applicable Canadian building codes, construction standards, contract documents, and procurement methods. Ability to interpret architectural and engineering drawings and identify coordination issues between drawings and specifications. Strong research and technical writing skills with exceptional attention to detail. Ability to manage multiple projects, priorities, and deadlines simultaneously. Excellent written, verbal, and client-facing communication skills. Strong collaboration skills and the ability to work effectively with owners, architects, developers, engineers, consultants, manufacturers, contractors, and clients.
Preferred Qualifications
Registered Specification Writer (RSW) or Certified Specification Practitioner (CSP). Knowledge of the construction industry, industry standards and building codes. Exemplary interpersonal skills with team members and various design disciplines. Detail-oriented, organized, hardworking, with a team player attitude. Experience working within an architectural, engineering, specification consulting, or multidisciplinary design organization. Experience developing and maintaining master specification libraries. Familiarity with specification-writing and construction-documentation software. Experience with BIM/Revit-based project workflows and specification coordination. Knowledge of sustainable design standards, product transparency requirements, and emerging construction technologies. Experience preparing proposals, developing scopes of work, and supporting business development activities. Existing relationships within the Canadian architecture, engineering, or construction community are considered an asset. Additional industry certifications or involvement with specification and construction-industry organizations are considered an asset. Experience in sustainable design/LEED. Experience in preparation and layout of specifications. Ability to work independently and meet deadlines, with minimal management oversight. Committed to being a team player who is willing to learn, expand their skillset and be versatile in tasks. Professional, self-motivated, well-organized, and detail-oriented with the flexibility and ability to prioritize and handle multiple tasks. Strong time management skills.

Success in this role means producing consistently accurate and coordinated specifications, delivering projects on time and to client expectations, developing strong long-term client relationships, and contributing to the continued growth of the specification services business. The successful candidate will also help strengthen the organization's overall specification standards, processes, technical expertise, and reputation within the Canadian design and construction industry.
