We are seeking a highly motivated Customer Service Outreach Specialist to join our Customer Service Team in Beamsville, ON. The Customer Outreach Specialist will coordinate communication between our customers, technicians, and internal teams. This role is responsible for scheduling service visits, managing service orders in Salesforce Service Cloud, and ensuring smooth coordination of service-related logistics. This individual will also assist with quoting, warranty claims, and administrative tasks related to technician operations and customer service. This is an entry-level administrative position with minimal travel requirements and excellent opportunities for career growth.

Responsibilities Customer Communication & Coordination
- Call and coordinate with customers to schedule service visits and preventative maintenance.
- Work closely with customers and technicians to prepare and send quotes for service contracts.
- Proactively reach out to customers about ongoing maintenance needs and equipment health.
Service Order Management
- Enter and update work orders in Salesforce Service Cloud, ensuring accuracy and completeness.
- Track service requests, monitor progress, and keep customers informed.
- Support warranty cases by communicating with vendors and documenting outcomes.
Administrative Support
- Record technician hours, manage service-related quoting, and assist with invoicing.
- Arrange travel logistics for technicians, including hotel bookings, car rentals, and flights.
- Prepare cross-border paperwork for international service visits and shipments.
Team Support & Process Improvement
- Collaborate with the Irrigation General Manager to identify areas for improved efficiency.
- Maintain organized records of customer interactions, service agreements, and warranty claims.
- Help refine workflows for scheduling, quoting, and reporting.
Minimum Qualifications (Knowledge, Skills, And Abilities Required)
- 1-3 years of experience in a customer service or related customer facing role.
- Preference given to candidates with previous horticultural experience.
- Associates degree or equivalent training/experience.
- Strong verbal and written communication skills.
- Excellent organizational skills and attention to detail.
- Proficiency with Salesforce or other CRM/service management tools.
- Customer-first mindset with a focus on responsiveness and follow-through.
- Ability to manage multiple priorities in a fast-paced environment.
- Flexibility to travel up to 10% to different client sites.
- Valid driver's license and able to travel to the US if needed; Ability to obtain a passport.
Preferred
- Experience in customer service or dispatch roles, especially within a technical or service-based industry, preferred.
- Familiarity with the horticulture, greenhouse, or irrigation industries
- Prior experience handling warranty claims or service contracts
