The Otipemisiwak Métis Government is recruiting for an Administrative Assistant to support the Client Services team in our Education, Training and Research department. Reporting to the Quality Assurance Manager, Client Services, this position will be responsible for ensuring smooth day-to-day operations of the team. The successful candidate will handle office tasks; provide polite and professional assistance via phone, mail, and email; assist in implementing effective filing and Metis Employment Services processes. The Administrative Assistant will be a master multi-tasker with excellent communication skills and an upbeat attitude, who will be required to take direction and work intuitively to support the completion of the team’s goals and objectives in a professional and culturally appropriate manner. Key Responsibilities Support the Quality Assurance Manager to ensure administrative activities are delivered in a timely and efficient manner. Perform clerical functions such as filing, preparing correspondence, and answering phone calls. Assist in developing, implementing, and maintaining processes and procedures within the team. Organize, maintain, and coordinate office records and files. Photocopy and organize documents for distribution, mailing, binding, and filing. Accurately and appropriately file correspondence, invoices, and receipts. Present a positive and professional image of the organization when interacting with employees, citizens, visitors, and other external stakeholders. Maintain a high level of cultural sensitivity, professionalism, and confidentiality in all interactions and when handling sensitive documents. Other duties as required or assigned.
Skills and Competencies Recognized strength in supporting teams and providing administrative and clerical support to add to organizational capacity. Proficient in Microsoft Office programs (including Word, Excel, and PowerPoint), database applications and administration systems. Familiarity with Requisition/Purchase Order software systems is an asset. Strong planning and organizational skills, with an ability to organize and prioritize daily tasks and long-term objectives. Superior written and verbal communication skills, including professional email etiquette. Excellent interpersonal skills, with the ability to build strong relationships. Flexible and adaptable, with an ability to switch between multiple priorities. Strong sense of ethics and the ability to maintain a high level of confidentiality in all interactions. Political and cultural sensitivity. Knowledge of Métis history, culture, and issues affecting Métis people. An in-depth understanding of the Otipemisiwak Métis Government and Métis culture is an asset. Qualifications Administrative certificate/diploma or education in a related field. Other relevant training and experience will be considered. Minimum of two (2) years of experience in a similar administrative or receptionist role, preferably within a government, non-profit, or Indigenous organization. Experience working in an Indigenous organization is an asset. Other Requirements Position is based in Edmonton; in-office presence is required. Ability to work a regular schedule of Monday – Friday, 8:30 AM – 4:30 PM as well as occasional evenings and weekends, with notice. Ability to travel throughout Alberta, with notice. Reliable transportation and a valid Class 5 Driver’s License. Submission of a clear Police Information Check. About Métis Nation of Alberta
Since its inception in 1928, the Métis Nation of Alberta (MNA) is the Métis Government for Métis Albertans with its geographical and legal boundaries being the province of Alberta. The MNA is governed by a democratically elected Provincial Council, comprised of a Provincial President, a Vice-President, and six regional Presidents and Vice-Presidents. This Council works toward the mandate of the MNA, supporting practices of transparency, accountability and inclusiveness for Métis Albertans in governments’ policy and decision-making processes. The MNA promotes and facilitates the advancement of Métis people through self-reliance, self-determination and self-management.
As per the Métis National Council, ‘Métis means a person who self-identifies as a Métis, is distinct from other aboriginal peoples, is of historic Métis Nation ancestry, and is accepted by the Métis Nation.’ Historic Métis Nation ‘means the Aboriginal people then known as Métis or half-breeds who resided in the Historic Métis Nation Homeland.’ Métis Nation ‘means the Aboriginal people descended from the Historic Métis Nation, which now comprised of all Métis Nation peoples and is one of the “aboriginal peoples of Canada” as defined in s.35 of the Constitution Act 1982.’
In the past decade, the Métis population has nearly doubled. The Métis are one of the fastest growing populations in Canada with a population estimated at 451,795 in 2011. A significantly high percentage live in Alberta alone. Alberta today accounts for more than 96,865 Métis, which is the largest population among the provinces and territories representing more than 21.4% of all Métis in Canada.
