About the role

Office Administrator

Reports To: ECS Manager, North

Schedule: Permanent, Full time Monday - Friday 8:00 am - 4:00 pm.

Location: #130, 2850 Sunridge Blvd NE, Calgary, AB T1Y 6G2

Serving over 700 children and families annually, Pacekids offers a range of programs and services that promote children’s healthy development, maximize quality of life, assist families in their role as primary caregivers and support full participation in community life

The Office Administrator is responsible for providing reception and administrative support to the ECS North School and the administrative offices. The office Administrator works collaboratively with all staff members at Pacekids. 

OVERVIEW OF RESPONSIBILITIES:

Include but are not limited to:

General Office Administration

  • Manage reception functions including calls, emails, visitors, and general inquiries.
  • Maintain security procedures, attendance tracking, and monitor front-desk sign-in.
  • Coordinate mail processing, courier services, meeting refreshments, and room bookings.
  • Maintain office supply levels, complete basic equipment troubleshooting, and support payment and petty cash procedures.
  • Prepare and archive ECS child files and nominal files; maintain updated distribution lists and staff movement tracking.

Program & Resource Support

  • Provide administrative support for ECS program documentation, file creation, and ongoing updates.
  • Organize Scholastic orders, CTA/Admin mailboxes, and ensure Resource Hub materials are stocked and available.
  • Assist with preparing, maintaining, and organizing program resources across ECS and FSCD.

Technical & Systems Coordination

  • Provide basic technical support such as email password resets and voicemail updates.
  • Coordinate with IT support for troubleshooting and technology needs.

Health, Safety & Facility Coordination

  • Participate in Health & Safety Committee, inspections, and first aid kit audits.
  • Monitor facility cleanliness and collaborate with building management and cleaning staff on maintenance issues.
  • Ensure general areas remain organized, safe, and compliant with H&S expectations.

Financial & Administrative Support

  • Perform petty cash reconciliations, deposits, debit machine balancing, and transportation-related invoicing.
  • Safeguard financial materials, ensuring all receipts and documentation are accurate.

Cleaning Staff Support

  • Oversee daytime cleaner tasks, ensure adequate supplies and adherence to cleaning protocols.

Board & Meeting Support

  • Set up and clean meeting spaces and refreshments for Board meetings and onsite events.

POSITION REQUIREMENTS:

  • Minimum High School Diploma; experience or post-secondary education an asset.
  • Proficiency with MS Office Suite and standard administrative practices.
  • Strong English communication skills and commitment to confidentiality.
  • Ability to multitask, organize workload, and manage competing priorities.
  • Strong interpersonal skills for effective interaction with clients, families, and staff.
  • Clearances: Criminal Record Check with vulnerable sector search, Child Intervention Check, First Aid certification.
  • Experience supporting children or individuals with diverse needs considered an asset.
