Pipeline & Production Systems Coordinator
About the role
Overview We are a growing digital art department creating virtual environments and immersive experiences, working in close collaboration with our audio team. As we scale rapidly, we are seeking a Pipeline & Production Systems Coordinator to help capture, organize, and formalize our workflows, tools, and production practices.
This role focuses on documenting existing processes, facilitating alignment between teams, and supporting the adoption of production systems (including Shotgrid) to improve clarity, onboarding, and delivery as the department grows.
This is a collaborative, non-managerial role with influence grounded in clear documentation and direct support from departmental leadership.
Reporting
This role reports jointly to the Creative Director of Art and the Head Engineer of Audio.
While the role does not directly manage people or enforce compliance, its recommendations, documentation, and proposed workflows are supported and reinforced by leadership to ensure consistent adoption across teams.
What You’ll Do
- Work closely with the digital art and audio teams to observe, understand, and document existing workflows, pipelines, and technical setups
- Capture SOPs, production processes, and handoff points in clear, usable documentation endorsed by department leadership
- Support the re-introduction and configuration of Shotgrid as a production tracking and pipeline tool
- Help define and document the art → audio handoff threshold, including timing, deliverables, and dependencies, in alignment with both departments
- Organize production knowledge to support rapid onboarding of new and contract team members
- Identify gaps, friction points, and inconsistencies in current processes and propose pragmatic improvements for leadership review
- Facilitate pipeline discussions between art and audio, helping teams align while leadership provides final direction where needed
- Maintain and evolve documentation as workflows mature and scale
What You Bring
- Experience working with production pipelines in digital art, VFX, animation, games, immersive media, or adjacent fields
- Strong documentation skills, with the ability to translate complex or informal workflows into clear written processes
- Familiarity with production tracking tools such as Shotgrid (or similar systems like Jira, ftrack, etc.)
- Comfort working in environments where processes are emerging rather than predefined
- Strong listening, synthesis, and facilitation skills
- Ability to work across peer departments with leadership-backed mandate
Nice to Have
- Prior experience supporting fast-growing teams (e.g., 4 → 20+ contributors)
- Exposure to audio production pipelines or cross-discipline handoffs
- Light technical fluency in production systems and tooling
- Experience building onboarding documentation or internal knowledge bases
