About the role

Convergint is looking for a team-oriented, results-driven, Project Cost Administrator to join our amazing team in our Regina location. The Project Cost Administrators’ responsibilities include maintenance of all job records, including job set-up, basic project cost review, progress billing preparation, warranty letters, change orders and job notes. You will be working closely with stakeholders, e.g. project managers, senior managers, and customer representatives to ensure accurate administration and maintenance of project documentation with respect to invoicing and contract compliance.

What you’ll do with “Our Training and Your Experience”

  • Assist with contract administration for assigned customer and CTC locations including contract documentation follow-up and invoicing.
  • Enter job bookings and change orders for assigned locations, ensure digital files are set up, and send notifications of job bookings to the Project Managers and sales team.
  • Enter projects updates to financial system, including project notes and timelines.
  • Develop contacts within the accounting and contract administration departments of our customers to gain a better understanding of how our customers operate and how we can provide the highest level of customer service.
  • Assist with monitoring jobs, identify anomalies and provide managers with accurate feedback to enable effective and timely decision.
  • Work closely with project managers and collections to ensure timely receipt of invoices.
  • Assist in providing the documentation produced for project closeout.
  • Assist with first level vendor invoice approvals as required.
  • Attend weekly/monthly project meetings when required by the Project Cost Supervisor.
  • Acts as “our customer’s best service provider” at all times thereby ensuring Convergint is the customer’s first choice for service.

What You’ll Need

  • Good interpersonal and verbal communications skills and ability to deal with a wide cross section of people both internal and external to the business.
  • Good Microsoft Outlook, Excel, Word and Power Point skills.
  • Basic financial analytical skills including cost control and ability to interpret financial reports.
  • Good accounts receivable knowledge.
  • Strong customer service/care skills.
  • Strong attention to detail and results focused.
  • Strong team orientation.
  • Flexibility to adapt to changing priorities and direction in a dynamic work environment.
  • Strong organizational/time management skills.
  • Good proficiency with financial software packages

Requirements

  • College diploma or certificate in Business Administration, Accounting or similar program required; extensive relevant experience will also be considered.
  • Minimum of two years’ experience in bookkeeping or an accounting environment. Project cost accounting experience an asset.
  • Minimum of one years’ experience in a construction environment preferred
