Reporting to the Manager, Donor Relations the Donor Relations Officer, Student Thank You Program is an essential member of the Development team, providing key support in the recognition and acknowledgment of student award donors. The work the Officer undertakes is key to building stronger relationships with donors and demonstrating the impact of philanthropy on the university and its students.

This role will be required to work independently and demonstrate a high level of initiative while being in a dynamic team environment where flexibility and multi-tasking is essential.

Alumni Relations and Development is the division of the university responsible for creating strong relationships and building philanthropic commitment between the University of Victoria and its alumni and friends.

About the position

The Donor Relations Officer, Student Thank You Program will lead and implement foundational stewardship activities for donors of scholarships, awards and bursaries. They will manage and implement a robust process to collect, edit and distribute letters of thanks from the student recipients, in collaboration with fundraising colleagues. The Donor Relations Officer will also prepare Donor Notices at critical junctures of the year to inform donors of the recipients of their awards. Further, the Officer will act as the department liaison between Development and Student Awards and Financial Aid and the Faculty of Graduate Studies around award disbursements and recipient details. They will also be responsible for updating student and donor records in the CRM as these records pertain to the student letter program. Finally, the Officer will work to create and incorporate ThankView videos into the stewardship initiatives undertaken for donors of awards and financial aid.

*This position is eligible for a hybrid flex arrangement*

The salary range for this position is: Recruitment range: $75,755 - $83,525 starting salarydetermined by the PEA Collective Agreement.
Performance range:$98,528salary range ceiling is available through annual performance increases.

Job Summary

Mandate:

The Donor Relations Officer is responsible for managing, implementing and growing UVic’s student thank you letter program. The program is one of the cornerstones for donor stewardship at the university and is unique in that it directly connects donors with the actual students their donations are assisting and impacting.

Alumni & Development is the unit of the university responsible for creating strong relationships and building philanthropic commitment between the University of Victoria and its alumni and friends.

It comprises a committed team who work both centrally and in faculties and units to identify opportunities where faculty, staff, donors, and alumni can be instrumental to enhancing UVic’s programs, research, and student support.

Objectives:

The Donor Relations Officer will be responsible for fulfilling activities and duties that support the university’s donor stewardship efforts. The incumbent will lead and implement foundational stewardship activities for the university’s donors of scholarships, bursaries and awards. They will develop a robust process to collect, edit and distribute letters of thanks from the recipients of awards. They will liaise with Development Officers, Planned Giving Officers and Leadership Giving Officers to determine the best way in which to connect with the donors, including arranging meetings between donors and student award recipients. The incumbent will also prepare Donor Notices at critical junctures of the year to inform donors of the recipients of their awards. They will also act as the department liaison between Development and Student Awards and Financial Aid and the Faculty of Graduate Studies around awards and their recipients. Finally, it is expected that the incumbent will work to incorporate ThankView impact videos into the stewardship initiatives undertaken for donors of awards and financial aid.

This role will be required to work independently and demonstrate a high level of initiative while being in a dynamic team environment where flexibility and multi-tasking is essential. Attention to detail is critical.

Job Requirements

This position requires a level of education, training, and experience equivalent to Bachelor’s degree plus 5 years of relevant experience. An equivalent combination of education, training, and experience may be considered.

Knowledge, skills, and abilities include:

Assets:

  • Experience with Blackbaud Raiser’s Edge or similar CRM.
  • Understanding of donor relations practices and principles.
  • Experience with higher education and/or a complex organization.
