Admin Assistant
We are seeking a reliable, detail-oriented Administrative Professional to join our team and support the smooth operation of our day-to-day activities. This role is essential to maintaining efficiency across departments, ensuring accurate record-keeping, managing communication flows, and providing general support to staff and leadership. The ideal candidate is highly organized, proactive, and capable of handling multiple priorities with discretion and professionalism. As a key point of contact within the organization, our Admin Assistant plays a vital role in upholding our standards and contributing to a positive and productive workplace environment.
Job Duties:
Reception & Visitor Services
- Greet and assist visitors in person and answer the main phone line, directing calls as needed.
- Accept and review applications from walk-in candidates and provide information on job
opportunities.
Office Administration
- Maintain inventory and organize office equipment and supplies; place orders through Amazon,
Eway, and Staples.
- Handle inbound/outbound mail, including Purolator, Canada Post, priority post, packages,
courier services, and accounts payable submissions to head office.
- Maintain housekeeping for the lunchroom and reception areas.
- Maintain and update the monthly cultural calendar.
- Order and distribute business cards.
People & Culture Support
- JIRA tickets include vacation requests, reimbursements, bereavement, personal info change,
nominations, payroll adjustment, referral.
- Scan and upload files to FileBound.
- Send monthly birthday emails.
- Assist with scheduling employee training dates/times.
- Assist with the deployment of guards when required.
- Administer paperwork for interviewers before interviews.
- Conduct reference checks and facilitate submission of required documentation.
- Assist with security license applications for new employees.
- Upload CY new hire information biweekly.
- Upload new hire employee photo to WinTeam profile
- Pull physical employee file once separated and upload to FileBound then shred physical file after
3 years
Uniform & Equipment Management
- Create and maintain purchase orders for uniform items such as boots, vests, alterations.
- Process uniform reimbursements.
- Assist with uniform returns and exchanges.
Finance & Records
- Process accounts payable as required.
- Assist with finance-related tasks such as employee reimbursements, invoices, and purchase
orders, parking infractions.
- Distribute cheques to employees and follow up on expired cheques.
Perform other administrative and office duties as assigned
Qualifications:

Ability to multitask and accommodate short notice changes while working with interruptions

Excellent communication skills, both written and verbal

Diploma in Business Management or Human Resource is an asset.

Minimum of 1 year of experience in Human Resource is an asset.

Commitment to exceptional customer service and professionalism

Strong computer skills, including Word, Excel, PowerPoint, Publisher and Outlook

Knowledge and understanding of Employment Standards Legislation and Human Rights Legislation

Authorized to legally work in Canada
