JOB SUMMARY: Reporting to the Dean of Academic Systems (DAS), the Manager is responsible for the direct supervision of Scheduling, Admissions, and temporary help desk staff. The incumbent oversees the functioning of admissions and scheduling and makes recommendations to the DAS regarding process improvements.

DUTIES AND RESPONSIBILITIES:

General:

  • Establishes critical paths for approval by the DAS and ensures adherence to deadlines
  • Develops and oversees the implementation and application of departmental procedures
  • Updates and maintains CLARA parameters related to admissions, scheduling, and registration (e.g., prerequisites, placement)
  • Collaborates extensively with program and department chairs, program deans, students, and parents regarding admissions procedures, decisions, scheduling, pre-registration, and registration
  • Provides administrative oversight, including the distribution and prioritization of work
  • Conducts performance evaluations of personnel
  • Represents the administration on committees as required
  • Oversees the preparation and dissemination of information to students
  • Collaborates with the DAS and the Records/Registration Manager on CLARA development requests
  • Support and oversee RO Law14 data reporting processes, including metrics production, validation, analysis, and delivery in collaboration with the data analyst and data mining

Specifically:

Admissions:

  • Ensures adherence to the Bylaw on College Admissions, including compliance with admissions criteria, applicant selection, and quotas as determined by the MES and the DAS

  • Ensures compliance with Policy 10 on the French Language

  • Oversees Fall and Winter admissions and program change processes

  • Establishes, in collaboration with the DAS, admission quotas for Fall and Winter day division admissions

  • Collaborates with SRAM on day division and continuing education admissions

  • Collaborates with high school guidance counsellors on liaison activities and admissions processes

  • Oversees final admissions verification

  • Coordinates high school liaison efforts including planning the annual guidance counselor day

  • Oversees language placement testing

  • Oversees the Final Admissions verification;

Scheduling:

  • Oversees the preparation of the schedule of classes for all day division courses
  • Determines room allocation needs to support class scheduling and optimize the use of spaces
  • Identifies problematic scheduling patterns and collaborates with program and discipline chairs to develop solutions
  • Participates in the preparation of the allocation project
  • Oversees, updates and monitors teacher workloads in CLARA, ensures alignment with the annual allocation project, and identifies issues requiring resolution by DAS, program deans or input from HR
  • Oversees the preparation of pre-registration packages for new students
  • Ensures compliant scheduling of program streams to support the alignment of career, pre-university, and general education courses
  • Coordinates the planning of intersession course offerings and oversees registration
  • Oversees the coordination of summer event room bookings
  • Initiates and coordinates processes related to day division scheduling and registration
  • Oversees course enrollment and rationing in collaboration with the DAS, deans, and chairs
  • Oversees registration activities, including verification, application of academic policies, course corrections, add/drop and exchange processes, and follow-up
  • Oversees the development of the final exam schedule and advises the DAS on updates to final exam procedures

QUALIFICATIONS:

Education

To have a diploma of college studies in an appropriate specialty to the employment and five (5) years relevant experience in Admissions and Scheduling or a Bachelor’s degree with a specialization appropriate to the employment and three (3) years of relevant experience to the position in Admissions and Scheduling

Specific Requirements:

  • Knowledge of Quebec high school and Quebec post-secondary education system

  • Fluency in English – oral and written

  • Intermediate French written, spoke and reading comprehension

  • Excellent organization skills and ability to coordinate simultaneous projects and produce materials by established deadlines

  • Ability to lead and motivate teams

  • Strong communications skills

  • Public speaking ability

  • Superior interpersonal skills and discretion

English, French
