About the role
We are seeking a reliable, detail-oriented Administrative Assistant to support a professional practice specializing in complex commercial financing and real estate-related transactions. This is a long-term opportunity for someone who enjoys research, organization, and working in a fast-paced, confidential environment.
This is an administrative support role only. The successful candidate will not perform duties that require licensing or registration.
Responsibilities
- Provide administrative and clerical support.
- Prepare, organize, and maintain confidential client files and documentation.
- Conduct research on commercial properties, businesses, public records, and market information.
- Coordinate with clients and third-party professionals, including legal, accounting, appraisal, and financial service providers regarding administrative matters.
- Schedule appointments, manage calendars, emails, and correspondence.
- Prepare reports, spreadsheets, and presentation materials.
- Assist with document collection and file organization for financing and real estate-related transactions.
- Perform general office and administrative duties while maintaining strict confidentiality.
Qualifications
- Must reside in or near Coquitlam, BC.
- Comfortable working in a hybrid environment from both a home office and our Coquitlam office.
- Education in Business, Finance, Accounting, Real Estate, or a related field is preferred. Students or graduates from Simon Fraser University (SFU) are encouraged to apply.
- Experience in real estate, banking, lending, legal administration, conveyancing, or financial services is an asset.
- Strong research, organizational, and analytical skills.
- Excellent attention to detail and the ability to manage multiple priorities.
- Proficient in Microsoft Office (Word, Excel, Outlook) and comfortable learning new technology.
- Professional written and verbal communication skills in English are required.
- The ability to communicate in Punjabi, Hindi, or Gujarati is considered a strong asset.
