About the role
We are seeking a File Opening & Conflicts Clerk to join the Firm. In this role, you will manage the lifecycle of client and matter files - from conducting conflict searches and opening files to processing amendments and coordinating closures. You will play a key role in ensuring compliance with the Firm’s conflict protocols and maintaining accurate records, while supporting lawyers, clerks, and assistants with administrative file-related tasks.
Key Responsibilities
- Conduct conflict searches for new incoming lawyers and assist legal staff with searches related to new client matters.
- Open new client and matter files in accordance with Firm protocols and client requirements.
- Process amendments and updates to client and matter files.
- Coordinate file closings, including preparation for offsite storage and retrieval of closed files as needed.
- Provide occasional assistance with bank runs and other administrative support tasks.
Qualifications
- Administrative or clerical experience in a law firm or professional services environment preferred.
- Strong attention to detail and organizational skills.
- Discretion and professionalism in handling sensitive and confidential information.
- Proficiency with document management and accounting/time entry systems is an asset.
- Ability to work collaboratively and respond to requests in a timely manner.
