Position Summary:

Under the direction of the immediate supervisor, coordinates and organizes the submission of the method of evaluation, production, and distribution of printed examinations. Ensures adherence to policies governing examinations and multiple-choice exam results. Ensures security measures are in place as it pertains to examinations. Prepares and distributes examination schedules. Liaises between instructors, departments, faculties, and students. Acts as resource person and resolves exam-related issues.

Major Duties and Responsibilities:

  • Ensures method of evaluation specifications are submitted by instructors each term and that related regulations are respected. Responsible for data entry of method of evaluation specifications into scheduling software.
  • Organizes and coordinates submissions for final exams for printing. Ensures all examinations are received and that policies governing information and formatting are respected. Verifies and compiles information. Liaises with departments and instructors as a resource person for electronic exam submissions. Coordinates the printing of all in-person exams with Printing Services.
  • Helps in the preparation of examination schedules. Distributes schedules to faculties and departments. Helps resolve schedule conflicts. Posts examination schedules.
  • Coordinates and tracks exam submission deadlines with instructors and departments.
  • Coordinates the multiple-choice exam scoring process for midterm and final exams. Scans completed exams and uses exam scoring software to provide statistical analyses and exam results. Ensures accuracy and integrity of results. Acts as resource for multiple-choice scoring inquiries.
  • Acts as resource person. Liaises between instructors, departments, faculties and students. Resolves exam-related issues. Makes recommendations to improve examination processes.
  • Responsible for being the prime contact for in-person interactions in the Exam Office.
  • Coordinates and authorizes room booking for exam purposes. Schedules and administers ad hoc examinations.

Other Qualifying Skills and/or Abilities:

Must be client-focused and service-oriented with a proven ability to provide excellent customer service and develop close working relationships with a variety of clients (academics, students, and other administrators). Make independent decisions and solve problems. Demonstrated initiative, very good organizational skills, and excellent attention to detail are a must. Proven ability to prioritize and multi-task and work under pressure to meet multiple strict deadlines in a fast-paced, dynamic environment. Proven discretion in dealing with confidential information. Demonstrate ability to work independently and as part of a team. Demonstrated ease with technological applications with a proven ability to work in a PC environment using MS Word, advanced Excel and Outlook, Banner (SIS), myCourses, Infosilem, Remark Office scoring software, Adobe Professional and Minerva. Knowledge of exam scoring an asset. English, excellent spoken and written skills required.
