The Role

  Contributes to the overall success of Operations/Global Operations in Canada ensuring specific individual goals, plans, initiatives are executed / delivered in support of the team’s business strategies and objectives.  Ensures all activities conducted are in compliance with governing regulations, internal policies and procedures.   The Commons is designed to promote mobility and flexibility allowing Scotiabank employees to be effective from anywhere. Employees are empowered to make the choice of where to work and in that makes them, and others most effective.   As an Event & Experience Lead, you will work within a larger team to support and facilitate a first-class employee and visitor experience in The Commons and work comfortably with a wide variety of people at all levels. The Commons is an exclusive space for Scotiabankers and their accompanied guests and acts as the ‘heart of the downtown Toronto campus'.  

Is this role right for you? In this role you will

 

Champion a customer-focused culture by supporting employees and visitors within The Commons and leveraging broader Bank relationships, systems, and knowledge. Maintain schedules and ensure high visibility of operations to support day-to-day activities within The Commons. Create engaging digital communications, infographics, announcements, and branding content to drive awareness, highlight events, and foster inclusive employee engagement. Conduct frequent walkthroughs of The Commons spaces, assist employees with settings and equipment, and support common courtesy guidelines. Respond to inquiries through The Commons inbox and support content moderation for Workplace, Scotiabank Live Sites, and perimeter screens. Troubleshoot and resolve operational issues promptly and professionally, escalating matters when appropriate. Support change management and continuous improvement by observing space usage, identifying opportunities, and recommending improvements to The Commons operations. Manage incoming requests for meetings, events, booths, and filming spaces, assigning appropriate rooms and maximizing space usage. Provide guidance on event planning, audio-visual requirements, vendor coordination, room setup, food and beverage service levels, and client billing processes. Provide administrative support for The Commons, including coordinating with Building Services or Real Estate, replenishing supplies, maintaining records of keys/security credentials, and supporting OHS requirements.

  Do you have the skills that will enable you to succeed in this role?  We’d love to work with you if you have:     

Post-secondary degree from an accredited university or college with a minimum of 2 years of related experience, or equivalent work experience in customer service and event management. Proven customer service focus with the ability to support employees, visitors, and stakeholders professionally. Excellent verbal and written communication skills, including presentation skills for small to medium-sized groups. Ability to work independently with minimal supervision while collaborating effectively within a large team. Strong relationship-building, interpersonal, and people-oriented skills. Basic proficiency in Microsoft Office, including Word, Excel, Outlook, and OneNote. Experience using social media as a marketing tool, Adobe Creative Cloud, and HTML is considered an asset. Knowledge of conference and meeting room technology, videoconferencing, or the ability to learn related tools and systems. Ability to troubleshoot operational issues, manage competing priorities, and support flexible or extended work hours based on business needs.
