About the role

Markage is looking for an Administrative Assistant to join our fully remote Canadian team.

This is an entry-level to junior-level position focused entirely on internal office administration and business operations. The role does not involve marketing, graphic design, client campaigns, or studio production coordination.

You will help keep Markage’s internal records, documents, schedules, subscriptions, employee information, and routine administrative processes organized and up to date. You will also provide basic bookkeeping and human resources administrative support.

This role is suited to someone who is dependable, highly organized, careful with confidential information, and comfortable completing detailed work independently.

You will work with managers and internal team members to collect information, maintain records, prepare documents, follow up on administrative tasks, and support the smooth operation of the business.

AI tools may be used to support internal documentation, summaries, data organization, scheduling, process improvement, and other administrative tasks. All AI-assisted work must be reviewed carefully for accuracy, confidentiality, and relevance.

Key Responsibilities

  • Organize receipts, invoices, expense records, and other bookkeeping documents
  • Enter routine financial information into spreadsheets, QuickBooks, or similar accounting systems
  • Track expenses, payments, subscriptions, and recurring business costs
  • Prepare bookkeeping records and supporting documents for management or accounting review
  • Maintain organized digital files for financial, administrative, and operational records
  • Assist with employee onboarding documents, forms, and internal checklists
  • Maintain employee records and update internal information when changes occur
  • Track vacation requests, sick days, time off, and other attendance information
  • Maintain confidentiality when handling employee, financial, and business information
  • Manage vendor records, service agreements, software subscriptions, and renewal dates
  • Monitor recurring subscriptions and report upcoming renewals or changes
  • Schedule internal meetings, appointments, reminders, and administrative deadlines
  • Prepare agendas, notes, forms, spreadsheets, reports, and internal documents
  • Maintain internal policies, procedures, templates, and shared folders
  • Support document collection, electronic filing, data entry, and record verification
  • Follow up with team members when information, forms, receipts, or approvals are missing
  • Assist with general office coordination and other internal administrative duties as required

Required Qualifications

  • Current and valid Dex Professional Specialist Certification, DEX-PSP, in the Business and Office Operations domain
  • Strong written and spoken English
  • Excellent organizational, time-management, and attention-to-detail skills
  • Ability to manage multiple administrative tasks and meet deadlines
  • Ability to work independently while remaining responsive to a remote team
  • Ability to handle confidential employee, financial, and business information professionally
  • Working knowledge of Microsoft Office, including Word, Excel, Outlook, and PowerPoint
  • Working knowledge of Google Workspace, including Gmail, Google Docs, Google Sheets, Google Drive, and Google Calendar
  • Strong data-entry, document-management, and digital file-organization skills
  • Ability to prepare clear spreadsheets, internal documents, checklists, and reports
  • Basic understanding of office administration and business operations
  • Ability to learn and follow internal procedures accurately
  • Comfortable using AI-assisted tools for administrative work while reviewing all results carefully
  • Reliable internet access and a suitable remote workspace
  • Legal authorization to work in Canada without employer-sponsored work authorization

Preferred Qualifications

  • Previous experience in administration, office support, bookkeeping, human resources administration, or a related area
  • Internships, volunteer work, school projects, and other relevant entry-level experience will be considered
  • Experience using QuickBooks or similar bookkeeping or accounting software
  • Basic knowledge of bookkeeping, expense tracking, invoices, receipts, and financial record organization
  • Experience maintaining employee records, onboarding documents, or time-off information
  • Familiarity with payroll-support processes, without responsibility for final payroll approval
  • Experience managing software subscriptions, vendors, contracts, or renewal schedules
  • Familiarity with customer relationship management, document-management, or business operations platforms
  • Experience using AI tools for summaries, document preparation, data organization, workflow support, or administrative operations
  • Diploma or certificate in business administration, office administration, bookkeeping, accounting, human resources, or a related field
