Working for the Augustana Faculty
The Augustana Faculty of the University of Alberta enrolls approximately 1000 undergraduate students in baccalaureate degree programs on a picturesque residential campus in the city of Camrose, 90 kilometers Southeast of Edmonton. The Faculty is committed to building on its reputation for academic rigor, high-quality teaching in the tradition of the liberal arts and sciences, and extensive opportunities for students in the areas of community service learning, undergraduate research, and international study. Position
The Faculty Administrative Assistant is the central reception point for the Augustana Dean’s Office and provides general administrative assistance to the Dean’s Office and all Departments within the faculty.
Duties
- Manages correspondence for the faculty’s general contact email account, answers phones for the area, and ensures that queries are properly directed and followed through.
- Drafts and/or generates routine communications based on straightforward information for Supervisor’s review.
- Prepares and types letters, emails and other area related correspondence for the Dean’s Office.
- Manages the calendars of the central meeting spaces in the faculty’s main building. Makes decisions on priorities based on the incumbent’s understanding of various department and programs needs and emergent issues.
- Creates and maintains spreadsheets and/or databases. Prepares standard and ad-hoc reports for the area. Designs and develops customized reports for specific needs.
- Schedules and coordinates meetings, events and activities including scheduling rooms, organizing equipment, ordering catering and assembling materials.
- Supports faculty wide events as needed.
- Initiates purchase requisitions, purchase orders and invoices through SupplyNet.
- Assists with the allocation of space and security.
Qualifications
- High School Diploma and a Diploma or Certificate in Office Administration plus 3 to 5 years relevant experience is required. Combination of education and years of relevant experience may be considered.
- Excellent computer skills with demonstrated proficiency in the following programs: Google Suite (Gmail, Docs, Sheets, Drive); MS Office Suite (Word, PowerPoint, and Excel).
- Excellent communication skills with all stakeholders from a variety of cultural backgrounds.
- Ability to work independently and collaboratively, manage time and workload effectively, meet deadlines and adhere to strict confidentiality guidelines, records management protocols, and all relevant university policies.
- Experience with HCM/PeopleSoft is considered an asset.
