Position Summary:
This position undertakes administrative and operational responsibilities in recruiting, matching and confirming field placement positions for the Early Childhood Education Programs (Ashtonbee-1201, Progress-1221, and Part-time-7010) in the Child and Family Studies Department within the Faculty of Integrated Health and Community Care. The incumbent is responsible for ensuring strong field placement partnerships with over 200 agency partners in the Childcare sector, and is responsible for placing over 1,000 students into high-quality, engaging field placement positions every semester, in consultation with Program Coordinators.
Responsibilities:

Active outreach to new agencies to recruit new field placement positions, to meet student and program needs

Maintaining and evaluating existing field placement partnerships, initiating field placement contacts, exploring opportunities with new agencies as appropriate and visiting sites as required

Negotiating expansions to existing or to create new different and creative placement opportunities with agencies through liaison with agencies
-
Responding directly to agency personnel regarding their concerns and issues in a timely, professional and effective manner; disseminating the issue and response or actions to appropriate College faculty and staff and following up as required.

Responsible for maintaining an active outreach presence in support of existing and potential field placements and ensuring Program Chairs and Coordinators are made aware of status, issues and opportunities.

Develop a newsletter to engage and inform placement partners on a semester basis

Arranging and implementing Recognition/Appreciation events for field placement partners and ensuring events are held in collaboration with the various program areas.

Managing the student matching process, ensuring students are following the process and successfully confirm for field placement; Identify students who need extra support in the field placement matching process, work with faculty teams and coordinators to provide support

Maintaining an up-to-date database to track field placement information, including field placement site information, student information and college field supervisor information

Prior to each semester, obtaining enrollment projections and flow -through student numbers from program coordinators to use when requesting future placements.

Collecting and tracking documentation and information, such as Agency Contract forms, WSIB forms and other specific documentation to meet placement requirements
-
Developing and maintaining appropriate statistical records and reports for the purpose of overall evaluation of the field placement activity and disseminating relevant and timely data to program chairs or coordinators.

Ongoing consultation with applicable Program Coordinators and faculty teams, to ensure implemented processes are effective and efficient

Participating in various meetings which have a bearing on field placement activity within the Community Studies area

Creating, monitoring, updating and distributing various high quality communication tools and materials internally and externally supporting all aspects of the field placement activity

Communicate, both written and verbally, matching processes and policies to students in a clear manner, and deescalate student concerns and conflict
-
Collaborating with Chairs, Program Coordinators, support staff, faculty mentors, and other staff members in assuring that we are providing coordinated individualized attention to all students and addressing problems and issues on a timely basis.

Other duties as assigned by Operations Manager and/or Associate Dean, including front desk coverage as needed
Qualifications/Experience:

A 2-year diploma in Business Administration or a related field
-
A minimum of 2 years work experience working in employee/student placement activities and/or a related field.

Sales, marketing or job development experience in order to identify and develop field placement opportunities
-
Employment/placement preparation experience (i.e. resume critique, interview preparation, job search strategies)
-
Strong working knowledge of using Microsoft Office Suite, including intermediate proficiency with Microsoft Excel
-
Experience working in a child care setting is preferred
-
Incumbent must be able to work in a high demanding work environment with the ability to multi-task, manage interactions with staff, students and negotiate with placement agencies.

Effective communications including the use of computer systems is critical
