About Us

The Western Advancement division plays a leading role in strengthening awareness of and support for the University’s mission and goals by leading alumni relations and fundraising efforts across campus and beyond. All departments within the Division build enduring alumni and public trust through understanding and support for Western University in a coordinated campus-wide effort that results in the engagement and funding needed to make an impact. There are 3 departments within the Division – Departments of Development, Alumni Relations and Advancement Operations.

The key goals of the department of Advancement Operations are:

  • To partner across the division in the areas of constituent database and technology services, prospect management, research and pipeline, data analytics and storytelling, gift and pledge management, records and document management, and financial reconciliation and reporting.
  • To provide support to the annual planning process as well as budget management, human resources and facilities support for University Advancement.

Responsibilities

The Alumni Records Research Assistant will be a key member of Western Advancement’s data integrity and prospect management support team, responsible for researching, verifying, and maintaining individual and organizational constituent records within the Blackbaud CRM database. The incumbent will support Western Advancement’s philanthropic and alumni engagement goals by locating and updating missing or outdated contact information, improving record accuracy, and increasing the contactability of alumni and constituents.

Using online research, public records, and investigative techniques, the Assistant will identify current contact details for “lost” or unverified alumni, ensure data is entered in accordance with established data standards and privacy requirements, and contribute to ongoing database clean-up initiatives. Strong attention to detail, sound research judgment, and accurate data entry are essential to enhancing engagement, prospect identification, and relationship-building opportunities across the Advancement portfolio.

Qualifications:

Education:

Current student returning to studies in the Fall

Experience:

  • High volume data entry experience required
  • Project based experience required
  • Experience conducting online research and information gathering using public sources and digital tools
  • Experience working in constituent database management preferred

Knowledge, Skills & Abilities:

  • Demonstrated high-accuracy data entry skills and ability to meet deadlines
  • Strong online research and investigative abilities, including locating missing or outdated contact information
  • Excellent organizational and time-management skills, with the ability to prioritize workload effectively
  • Ability to take initiative and work both independently and collaboratively within a team environment
  • Strong attention to detail and commitment to data quality and integrity
  • Intermediate proficiency in Microsoft Office, particularly Excel, and comfort working in database systems
  • Professional, respectful, and diplomatic interpersonal skills
  • Experience using social media and online tools (e.g., LinkedIn, Facebook) to support alumni research and lost-constituent tracing
