About the Role

We are seeking an experienced and highly organized Executive Operations Coordinator (Senior) to provide direct support to the executive team and ensure the smooth operation of Playmove Canada’s strategic, administrative, and operational initiatives.

Initially, the role will be heavily focused on operational execution , supporting day-to-day activities and processes. As Playmove Canada grows, this position will evolve into a more strategic function , coordinating cross-functional projects, supporting executive decision-making, and contributing to long-term organizational development.

Note: This position will initially be classified as Non-Exempt under Canadian labour standards, with eligibility for overtime as defined by the ESA. As the role transitions into a more strategic and managerial function, its classification may be reviewed for Exempt status.

ResponsibilitiesOperational (Initial Focus):

  • Manage executive and Board calendars, meetings, and appointments.
  • Organize and monitor institutional emails, respond to inquiries, and ensure timely follow-ups.
  • Answer calls and provide institutional-level customer support.
  • Prepare and send invoices, monitor payments, and follow up on collections.
  • Liaise with Canadian accounting services to ensure compliance with payroll, tax, and reporting requirements.
  • Coordinate communication with factories and suppliers in Brazil regarding production and order status.
  • Oversee import processes for PlayTables, including required documentation and customs coordination.
  • Support logistics for shipping, receiving, and distribution of products across Canada.
  • Maintain and organize corporate records, financial files, and legal contracts.
  • Assist the sales team with customer onboarding and support activities.
  • Manage daily operations of the office and experience center, ensuring functionality and readiness for clients.
  • Provide general administrative, commercial, and operational back-office support to the executive team.

Strategic (Future Evolution):

  • Oversee and optimize organizational processes, ensuring cross-functional efficiency.
  • Support preparation of board materials, investor presentations, and strategic performance reviews.
  • Monitor KPIs and prepare executive dashboards for decision-making.
  • Lead special projects to scale operations, logistics, and customer experience as the company grows.
  • Contribute to the development of policies, procedures, and best practices for long-term sustainability.
  • Act as a key liaison between executive leadership and operational teams, ensuring alignment with business priorities.

Requirements

  • Fluent in English (spoken and written), with strong professional communication skills.
  • Bachelor’s degree in Business Administration, Management, or related field (Master’s preferred).
  • Minimum of 7 years of experience in executive support, operations, or project coordination.
  • Proven ability to manage multiple priorities, deadlines, and stakeholders in a fast-paced environment.
  • Strong analytical and organizational skills, with attention to detail and accuracy.
  • Excellent communication (written and verbal) and presentation abilities.
  • Proficiency with productivity tools (Google Workspace, MS Office, project management platforms).
  • Demonstrated ability to work collaboratively in a multicultural and dynamic team.
  • Fluency in Portuguese is considered an asset, given cross-border operations with Brazil.
  • Experience in EdTech, technology, or high-growth companies is considered an asset.

COMPENSATION & BENEFITS

  • Annual Salary: CAD $90,000 (CAD $7,500 per month), paid monthly via payroll and subject to statutory deductions (CPP, EI, and income tax).
  • Vacation & Leaves: Entitled to four (4) weeks of paid vacation per year, as well as all applicable public holidays and leaves of absence in accordance with the Ontario Employment Standards Act, 2000 (ESA) and Company policy.
  • Paid Sick Leave: Eligible for three (3) paid sick days per calendar year, after two (2) consecutive weeks of employment, in compliance with the ESA. Sick days reset every January 1 and do not carry over.
  • Benefits: Eligible to participate in the Company-sponsored benefits program (health, dental, and others) once implemented, in accordance with plan terms and eligibility requirements.
  • This position is classified as Exempt under the Ontario Employment Standards Act, 2000 (ESA), meaning the Employee is not eligible for overtime pay.

WORK HOURS & LOCATION

  • Standard Workweek: 37.5 hours per week, typically Monday to Friday, from 9:00 a.m. to 5:00 p.m., or as reasonably required by the role.
  • Meal Period: Employees are entitled to a 30-minute unpaid meal break beginning at 12:00 p.m., in accordance with the Ontario Employment Standards Act, 2000 (ESA).
  • Work Location: This is a full-time, in-person position based in the Greater Toronto Area (GTA), where Playmove’s new head office and experience center will be established from December 2025 onward, in accordance with the Company’s Work Location Policy.
  • Remote Work: Remote work may be permitted only under exceptional circumstances and requires prior written approval from management. When authorized, the Employee must maintain a safe and ergonomically appropriate workspace and comply with all Company policies regarding confidentiality, privacy, and health and safety.
