The Alberta Medical Association is currently recruiting for an Administrative Assistant to join our Accelerating Change Transformation Team (ACTT).

The AMA has a hybrid work environment. The successful candidate will be based out of our Edmonton or Calgary office and will have the opportunity to work from home but will be required to go into the office or attend in person when required. Regular travel throughout Alberta will be required to attend meetings with physicians and government representatives.

Department Overview:

The AMA Accelerating Change Transformation Team (ACTT) supports physicians and other clinical team members to advance care delivery within their practice environments. We do this by developing the right products, tools and resources; building capacity in Primary Care Networks and other groups through training and networks of practice; supporting implementation; and acting as trusted advisors to physician leaders.

Position Overview

The Administrative Assistant provides administrative support to the ACTT team, including calendar management, meeting support, preparing correspondence and documents and travel arrangements. This position works in a project environment and will move adeptly amongst teams.

Key Responsibilities:

  • Work cooperatively with all team members to support the achievement of project plan activities.
  • Coordinate and organize department meetings and conferences including meeting venue bookings, catering requirements, setting up the room with audio-visual equipment and flip charts and other department meeting requirements.
  • Complete internal and external correspondence such as, legal documents, form letters, other documents and distributes.
  • Prepare meeting agendas, records and distributes minutes, and maintains files.
  • Arrange for team members’ travel including hotel accommodations and transportation.
  • Regularly reviews action items and deliverables from meetings and projects and ensuring tasks are being completed on time.
  • Prepares expense claims, invoices, payment authorization forms and administrative documents for authorization.
  • Identify issues and gaps to provide recommendations for continuous improvements of tools, processes, operations and quality of services for project delivery.
  • Develop or maintain an accurate and up to date records management system (including classifying and coding electronic and hardcopy files) for storage, easy retrieval and dissemination. Applies AMA’s security and privacy process and procedure to record management.

Education and Experience

  • 2 years post-secondary diploma
  • Minimum of 2-3 years of experience
  • Must have experience in coordinating meetings and taking minutes.
  • Experience in an office environment with various deliverables and reporting to more than one leader
  • Thorough working knowledge of Microsoft Office Suite, including Word, PowerPoint, Excel, Teams and Outlook
