Position Overview:

Resumes are being accepted for the position of Election Assistant within the City Clerk’s Office. Reporting to the Manager Information, Privacy and Elections/Deputy City Clerk, the Election Assistant will support essential logistics to ensure a successful 2026 municipal and school board election. The successful candidate will support the coordination of election supplies, forms and logistical operations on voting days, as well as, poll worker training and voting days customer support as needed. They will have excellent organizational skills and a focus on quality customer service and continuous improvement.

Key duties and responsibilities

  • Assists with key election projects, including but not limited to election supplies organization, distribution and voting day logistics, election worker recruitment and training materials development.
  • Assists with election supply inventories and organization, as well as, logistics planning for delivery of election supplies on voting days.
  • Reports to project leads on projects they are involved with.
  • Responds to inquiries in person, by telephone, mail and e-mail from the public, candidates and election workers related to election matters.
  • Completes other duties as assigned.

Qualifications and requirements

  • High school diploma or education in a related discipline, such as public administration, is an asset. Candidates with an equivalent combination of education and experience may be considered.
  • Experience in an administrative or coordinator role preferably in a municipal or public sector environment.
  • Excellent organizational and problem-solving skills with the ability to manage multiple tasks and priorities in a demanding environment.
  • A team player with excellent interpersonal skills.
  • Excellent communications skills (both oral and written) with the ability to communicate with all levels of staff, stakeholders and the general public.
  • Intermediate Microsoft Office skills (Word, Excel, PowerPoint and Outlook).
  • Adaptable with the ability to work efficiently, independently and with minimal supervision.
  • Experience with inventory management an asset.
  • Experience working with elections an asset.
  • Ability to work outside normal business hours, as required.

Hours of work 35 hours per week, Monday to Friday, between the hours of 8:30 a.m and 4:30 p.m.

The city is a single-tier municipality governed by a mayor-council system. The structure of the municipal government is stipulated by the Ontario Municipal Act of 2001. There are currently 12 councillors and a mayor, with two councillors representing each of the six wards. The mayor and members of the city council serve four-year terms without term limits, with the next election scheduled for October 2022. Prior to the 2006 election, the mayor and city councillors served three-year terms.
