Purpose** The Property Administrator is responsible for the strategic oversight and operational management of the companies property portfolio, including lease management (both as landlord and tenant), public property use coordination, stakeholder relations, and project support for property-related initiatives. This role requires a thorough understanding of real estate management practices, budgeting, lease negotiations, and regulatory compliance, with a strong ability to coordinate across multiple departments and with external stakeholders.
Responsibilities Property Management & Planning
- Develop, maintain, and update a comprehensive Property Management Plan that reflects organizational goals and operational requirements
- Manage publicly available company-owned properties, ensuring access and use are in line with internal policies and stakeholder agreements.
- Serve as a liaison for land-related matters, working with departments such as Land, Legal, Environmental and Safety.
Budgeting & Finance
- Develop and manage Annual Operating budgets for all property/project related activities.
- Track and report on actuals versus budget, justifying variances and recommending cost-saving strategies.
Lease & Rental Management

Administer all lease agreements where the company is either the Landlord or Tenant.

Handle tenant inquiries, concerns, disputes, and enforce company policies and lease terms.

Support lease renewals, vacancies, and evictions in collaboration with the Land Department.

Ensure compliance with Ontario Landlord and Tenant regulations and best practices

Schedule, coordinate, and oversee repairs, maintenance, renovations, and upgrades to leased properties.

Assist with project costing, planning, and contractor management related to leased property improvements.
Employee & Contractor Housing
- Coordinate the leasing, occupancy, and maintenance of rental units secured for employees and contractors.
- Liase with HR and Operations to anticipate and fulfill housing needs.
Stakeholder Engagement & Public Relations
- Respond to respond to inquiries received via the company's electronic community feedback channel regarding property related matters.
- Engage with public, local authorities and other stakeholders to resolve concerns and build positive relationships.
- Participate in community and public consultation processes related to property use and land access.
Land Use Access & Compliance
- Coordinate access rights and permissions for land use, ensuring all safety training, legal agreements, and departmental requirements are met.
- Ensure proper documentation and tracking of land access activities in accordance with company policies and 3rd party agreements.
Project Support for Land Acquisitions
- Provide support to the various departments for the planning, assessment, and due diligence processes for new land acquisitions.
- Assist in site evaluations, feasibility studies, and coordination with land, legal and environmental teams.
Training and Education
- Post-secondary education in Property Management, Business Administration, Real Estate, Urban Planning, or a related field or equivalent experience will be considered
- Certification of diploma in Property Management or Facilities Management is an asset.
- Knowledge of the Ontario Landlord and Tenant Act and applicable local municipal regulations.
- Minimum 5 years of experience in property or facilities management, preferably in a commercial or large enterprise environment.
- Demonstrate experience with budget development, lease administration, and property planning.
- Experience working with public feedback and stakeholder relations.
