Role Description

This position is accountable to and under the direction of the Manager, People and Culture and is responsible to assist with recruitment, administrative functions relating to human resources and providing confidential services and support to employees.

Responsibilities

Recruitment and Talent Acquisition:

  • Manage the recruitment life cycle for an average of 15 positions monthly.
  • Collaborate with Talent Acquisition team in posting jobs, scheduling interviews, screening resumes, conducting phone screenings, sending interview packages, and working closely with hiring managers on new requisitions.
  • Continuously refines recruitment process and explore new job boards, websites, and innovative ways to attract candidates to build a steady pipeline for various positions.
  • Support the People and Culture team in collecting internal employee data for queries.

Onboarding and Employee Relations:

  • Coordinate Onboarding and Orientation process for new hires, including pre-hire communication, managing start dates, access to training, and processing new hire documentation.
  • Draft employment agreements and letters using established templates (e.g., employment letters, status changes, etc.).
  • Maintain and audit employee records on a regular basis, ensuring confidentiality.
  • Maintain clear communication with leaders within the organization regarding process changes and updates.
  • Support the HRIS data entry and report preparation as needed.

Compliance and Reporting:

  • Submit the monthly vacancy report and update HR changes as necessary.
  • Ensure submission of Annual Police Reference Checks based on random selection processes.
  • Maintain compliance with health and safety standards by using appropriate protective equipment, reporting hazards or accidents, and attending required safety training.
  • Work safely in compliance with established health and safety standards.

Team Engagement and Development:

  • Establish and maintain positive working relationships with professional and non-professional staff, residents, families, volunteers, and the community.
  • Facilitate team building and promote change and innovation within the organization.
  • Encourage staff participation in general staff meetings and monthly in-services to foster engagement and continuous learning.

Required Skills and Abilities

  • Comfortable working independently and within a team.
  • Excellent judgment and discretion in managing highly sensitive and confidential information.
  • Strong organizational and interpersonal skills.
  • Keen attention to detail while maintaining a big-picture perspective.
  • Clear, concise, and strong communication skills, both orally and in writing.
  • Intermediate skill level with MS Office (Word, Excel, PowerPoint).
  • Ability to prioritize and manage multiple tasks in a fast-paced environment.
  • Problem-solving skills and ability to think critically under pressure.

Required Knowledge and Experience

  • General knowledge of human resource best practices.
  • Minimum of 2 - 4 years of relevant experience in human resources.
  • Familiarity with HRMS (UKG & SSC) systems and ATS software platforms is an asset.
  • Experience in recruitment, onboarding, and employee lifecycle management.
  • Knowledge of employment legislation, health and safety regulations, and compliance reporting.

Required Professional Designation/Certificate

  • Minimum of a Diploma or Degree in Human Resources or a relevant field.
  • CHRP (Certified Human Resources Professional) or working towards it, or other relevant HR certifications is an asset.
