Your Opportunity

Under the general direction of the Director, IT, is responsible for assisting IT and other departments with the development, planning, execution, and closure of projects utilizing best practices in project management methodology. This position recommends the necessary structure and methodology required to ensure project success, works to define project requirements, suggest design solutions, assist in acquiring project resources and coordinates the efforts of project team members, contractors and vendors in order to deliver projects according to plan. The IT Project Coordinator tracks and monitors progress of the project according to established timelines; identifies variances from the established budget; and achievement of project milestones, with the goal of minimizing or eliminating project delays or problems, involving the appropriate stakeholders as required.

Functions and Duties

  1. Assists with the development of project plans from problem definition through design, implementation and post-implementation review using project management best practices, tools and standards including status reporting

  2. Aligns activities within each project to ensure deliverables and expectations can be met in terms of deadlines, budget, human capital and other resource requirements

  3. Recommends project success criteria and conducts project post mortems to ensure continuous improvement

  4. Facilitates stakeholder management processes and recommends appropriate communication plans, presenting to stakeholders, management and executive as required

  5. Coordinates tasks, deliverables and priorities amongst project participants and monitors established deadlines, achievement of milestones, and recommends revisions to activities as appropriate

  6. Administers changes in project scope and identifies risks as well as related contingency plans and recommends necessary follow-up actions

  7. Tracks the progress towards key goals, ensuring quality standards and deadlines are met and any identified conflicts are reported and managed by the appropriate project stakeholder

  8. Builds and develops positive and productive relationships with key internal and external stakeholders including management, executive and project team members

  9. Conducts feasibility studies and identifies opportunities for improvement to service

  10. Participates in the development of IT strategies in collaboration with the other members of the IT Management team

  11. Maintains current knowledge of a broad range of technologies

  12. Performs other duties as assigned

Education and Experience

Completion of Grade 12 and a Diploma or technical training of 2 years of study in a related discipline (or equivalent). PMP designation an asset

A minimum of four years of related project management experience including experience with project management tools and techniques

Skills and Abilities

  • Proven project management skills with multiple project/program management methodologies and tools across a range of projects

  • Exceptional interpersonal, written, and oral communications skills

  • Ability to liaise with clients and assist in the definition and articulation of their requirements

  • Ability to produce clear, concise, unambiguous, and easy to read documentation including project charters, plans, requirements, proposals, workflow, functional design, status reports, presentations and stakeholder communications

  • Identifies and manages project milestones, deliverables, dependencies and critical path

  • Ability to conduct research and effectively analyze, understand and evaluate the business and application functional impacts of modifications or enhancements

  • Work both independently and as a strong team player with an aptitude for working in a collaborative environment

  • Ability to prioritize and execute tasks in a high-pressure environment and make sound decisions in emergency situations

  • Ability to present ideas and concepts of a technical nature to a non-technical audience

  • Highly self-motivated, proactive, and results driven

  • Strong customer service orientation, quality focused mindset
