Position Summary

Bow Valley College is seeking a highly skilled and professional Executive Assistant to join our team on a temporary basis. Reporting to the Lead, Executive Office, this role provides vital support to the Executive Team by managing calendars, coordinating communications, preparing documentation, and facilitating meetings and events. The Executive Assistant ensures that Executive Team members are well-prepared for all engagements by anticipating needs, resolving scheduling priorities, and providing accurate and timely information.

Acting as a key liaison, this position fosters positive relationships with internal stakeholders, external partners, and senior-level contacts such as Board members, government officials, and community organizations, while promoting the College’s values and reputation.

The successful candidate will oversee a wide range of responsibilities including information and document management, coordination of travel and expenses, development of agendas and presentations, and the preparation of reports and correspondence. They will also manage confidential information related to labour relations, collective bargaining, and other sensitive matters requiring discretion and sound judgement. In addition, the Executive Assistant supports office operations through financial coding, requisitions, maintaining supplies, and ensuring the professional presentation of the Executive Office.

This position requires strong decision-making, problem-solving, and project management skills, with the ability to work independently in a fast-paced and high-profile environment. The ideal candidate will hold a related post-secondary diploma and bring a minimum of five years’ experience in a senior administrative support role, preferably in an Executive Office. Advanced proficiency in MS Office, excellent written and oral communication skills, and proven information management expertise are essential.

Candidates must demonstrate exceptional attention to detail, confidentiality, adaptability, and the ability to manage competing priorities under tight deadlines. Experience in a board-governed, public sector, or post-secondary environment is considered an asset, with previous experience at Bow Valley College being highly valued.

This is a temporary (full -time) exempt opportunity with an anticipated conclusion in April, 2026. Please note all successful candidates will be required to provide copies of government issued identification and proof of educational qualifications upon hire and may be required to provide an enhanced police information check.
