The Administrative Assistant – Reception and Office Support provides administrative support for the Archway Community Services Food Bank and the programs it runs. The Administrative Assistant will demonstrate a level of experience that will allow them to act with a high degree of tact in dealing with the public, staff, and community partners. A pleasant mannerism and telephone voice, the ability to deal effectively and pleasantly under pressure and the ability to handle cash will be required. The Administrative Assistant will value all people and their diversity and will demonstrate this in providing service in a timely, courteous, and friendly manner. Further, the Administrative Assistant will maintain harmonious working relationships with all personnel and will display a non-adversarial, non-confrontational, and cooperative approach in the completion of all tasks. This position supports the Food Security Manager in adopting and implementing a human rights/equity based social justice lens to food related activities at the Food Bank.
Your Role:
Archway’s Administrative Assistant with the Food Bank contributes by:
- Assisting the public, staff, and community partners in providing information and resources, responding to their inquiries and concerns, and providing referrals.
- Providing ongoing resource information for the public and maintaining up to date information for the Food Bank and its programs.
- Processing and managing all incoming and outgoing mail, and other documentation.
- Delivering excellent customer service by answering phones, voice mail messages and directing accordingly.
- Rescheduling client food pick up appointments using the client data system Link2Feed.
- Collecting and issuing temporary tax receipts for all financial donations that come to the Food Bank Reception and through the mail.
- Ordering office supplies and maintaining inventory.
- Performing clerical tasks such as filing, photocopying, and scanning of documents.
- Other duties as assigned.
This position is a great fit for someone who has great interpersonal skills, enjoys liaising with members of the public from all walks of life, and is able to remain calm in stressful situations.
Our Offer
- Wage: $21.00 – $22.50 per hour.
- A full-time position at 35 hours per week, availability Mondays to Fridays, from 8:30 AM to 5:00 PM.
- Permanent

Getting an Interview–you will be considered if you have:
- High school Diploma, GED or equivalent credential.
- One year’s experience in a customer service or reception position.
- Experience working with vulnerable populations in crisis is an asset.
- Previous experience in the field of social services is an asset.
The Job Requires you to have:
- Excellent verbal, written, and active listening skills; able to communicate respectfully and effectively with people from a variety of backgrounds and experiences.
- Must have good typing skills (50 words per minute) and demonstrated organizational skills. demonstrated organizational skills.
- Strong computer competency, able to use Microsoft Office365 and virtual meeting platforms such as Microsoft Teams, and the internet.
- Ability to remain calm and respectful in heightened or crisis situations.
- Familiarity with office machines, including photocopiers, fax machines and postage machines.
- Familiarity with Archway and community resources is an asset.
- Ability to sit for long periods of time using the computer/keyboard and screen.
- Ability to lift up to 20lbs.
- Ability to work in person with members of public and staff, which requires a high-level of social interaction and engagement, requiring adherence to health and safety protocols.
- Ability to interact with people in difficult or crisis situations.
- A satisfactory Criminal Records Check is a condition of employment.
