Project Overview:
In response to the escalating cyber threats in today's digital landscape, Supply Ontario is embarking on a strategic initiative to establish a robust and comprehensive cyber security program. This endeavour will aim to fortify the organization's digital defenses, safeguard sensitive data, and ensure continuity of operations in the face of evolving cyber risk.
Our primary goal revolves around the establishment of a mature cyber security program that underpins Supply Ontario's core business functions. Focusing on continuous improvement, key objectives include coordinating, designing, and implementing initiatives related to bolstering proactive and reactive controls to preserve Confidentiality, Integrity and Availability (CIA). An extensive program will include areas such as Cyber Policy and Procedure, Cyber Risk Assessment & Management, Security Compliance, Security Training & Awareness, Incident Response, and Threat Intelligence.
Experience required:
- 3–5+ years of experience in project coordination or project support roles, ideally within the public sector, IT, or security-related environments.
- Demonstrated experience in assisting with IT and security-related initiatives through tasks such as tracking deliverables, preparing reports, coordinating schedules, and maintaining documentation.
- Familiarity with project management methodologies and tools (e.g., Agile, Waterfall, MS Project, JIRA, Confluence, etc.).
- Understanding of cybersecurity concepts such as threats, vulnerabilities, risk management, encryption, and incident response is considered an asset.
- Exposure to security frameworks (e.g., NIST 800-53, NIST CSF, ISO/IEC 27001, CIS) is a plus.
- Experience supporting public sector procurement or supply chain projects is desirable.
- Strong organizational skills with the ability to manage multiple priorities and deadlines.
- Effective interpersonal and communication skills to work across teams, including technical and non-technical stakeholders.
- Ability to create and maintain comprehensive project documentation, reports, meeting minutes, and dashboards.
- Capable of supporting vendor coordination and assisting in the monitoring of service delivery and performance.
- Excellent written and verbal communication skills with a focus on clarity and consistency.
Deliverables
The Project Coordinator will play a key supporting role in ensuring the successful delivery of the cyber security program. The responsibilities and expectations include:
- Support the cyber security team in the coordination and implementation of various cyber security initiatives.
- Assist with scheduling meetings, preparing agendas, capturing meeting minutes, and following up on action items.
- Help coordinate deliverables across teams and monitor progress to ensure alignment with timelines and milestones.
- Maintain comprehensive project documentation, such as status reports, project plans, risk logs, and communications.
- Coordinate with internal departments, external vendors, and stakeholders to ensure smooth project execution.
- Support business requirements gathering efforts and help document stakeholder needs.
- Track and update project schedules, task lists, timelines, and dependencies.
- Assist with risk tracking and ensure mitigation actions are recorded and followed up.
- Support testing coordination, including scheduling, communication, and documentation of outcomes.
- Contribute to change management efforts, including drafting communication materials and training logistics.
- Help prepare project updates and presentations for executive meetings and stakeholder briefings.
- Assist with procurement and vendor tracking activities, including monitoring deliverables and performance against benchmarks.
- Collaborate with internal teams to ensure documentation and processes align with project goals.
- Facilitate internal communication and foster coordination across project workstreams.
Desirable Qualifications:
- Educational Background: A bachelor's degree in Project Management, Business Administration, Information Technology, Computer Science, or related disciplines.
- Relevant professional certifications such as PMP (Project Management Professional), PRINCE2 (PRojects IN Controlled Environments), or CAPM (Certified Associate in Project Management).
Must Haves:
- 3–5+ years of experience in project coordination or project support roles, ideally within the public sector, IT, or security-related environments.
- Demonstrated experience in assisting with IT and security-related initiatives through tasks such as tracking deliverables, preparing reports, coordinating schedules, and maintaining documentation.
