About the role
The Residential Leasing & Tenant Coordinator supports the rental process for the Income Producing Properties team by assisting with various tasks related to tenant leasing and property management. This role involves overseeing tenant screenings, ensuring lease agreements are processed, and collecting essential documentation from tenants. Residential Leasing & Tenant Coordinator also conducts inspections to ensure units meet company standards and helps manage payment setups for tenants. Additionally, they identify leasing opportunities and assist in maintaining high occupancy rates. This position plays a vital role in ensuring that the leasing process runs efficiently and contributes to the overall success of property management operations.
Key Responsibilities
Tenant Screening and Leasing Process
- Conduct thorough credit checks and screenings for prospective tenants through Yardi to assess financial qualifications and eligibility.
- Counter-sign tenant leases, ensuring all terms and conditions are properly documented and agreed upon.
- Collect and verify tenant deposits, banking information, proof of insurance, and utility bills to ensure all necessary documentation is in place before move-in.
Property Marketing and Leasing Opportunities
- Perform in-depth monthly market reviews to assess local competition, identify trends, and make recommendations to adjust leasing strategies and pricing.
- Proactively identify and create new leasing opportunities to increase traffic and occupancy, including collaborating on targeted advertising and promotions.
- Post and manage advertising for available suites across multiple platforms, ensuring all listings are current and attractive to potential tenants.
Tenant Onboarding and Move-in Process
- Conduct detailed pre-move-in inspections, ensuring that units meet all maintenance and safety standards before tenant occupancy.
- Facilitate move-in inspections with tenants to ensure mutual agreement on the unit’s condition and document any existing issues.
- Enter and maintain accurate tenant banking information in Yardi to set up automated payment methods, ensuring smooth rent collection processes.
Financial Management and Record-Keeping
- Set up recurring payments and Electronic Funds Transfer (EFT) for tenants in Yardi, ensuring that payment processes are seamless and efficient.
- Review and verify tenant banking information for accuracy, ensuring that all payment setups are aligned with company standards.
- Assist with maintaining up-to-date financial records for tenant deposits, rent payments, and other financial transactions to ensure compliance and accuracy.
Waitlist and Tenant Relations
- Manage and regularly update the waitlist for new prospective tenants, ensuring timely communication and follow-ups to maintain engagement.
- Lead property tours for prospective tenants, showcasing available units and addressing inquiries to secure leasing interest.
- Act as a primary point of contact for tenants during the leasing process, providing exceptional customer service and addressing concerns promptly.
Experience
Required
- Understanding of residential leasing processes, lease agreements, rent collection, and tenant communication.
- 1 - 3 years: Experience in a coordinator, administrative assistant, or retail or sales is preferred.
Licenses & Certifications

- Prov Driver's License
