Position Summary
As a Medical Office Assistant and Clinic Operations Coordinator at WELL Health Hemorrhoid Treatment Centres, you’ll be an essential part of the patient care experience while also overseeing the daily operations of two clinic locations. Working closely with physicians and clinic staff, you will help facilitate smooth clinic operations, coordinate staffing and schedules, ensure compliance with clinic policies, and provide outstanding service and support to patients. This role requires strong multitasking abilities, leadership skills, attention to detail, and a commitment to delivering compassionate care in a fast-paced, clinical setting.
What You’ll Be Doing
Medical Office Assistant Duties
- Greet and register patients, verify insurance, and process payments
- Schedule and confirm appointments, managing patient flow throughout the day
- Escort patients to and from exam rooms and clean rooms between appointments
- Maintain accurate and up-to-date electronic medical records
- Answer phones, respond to inquiries, and manage clinic correspondence and faxes
- Assist with minor clinical tasks and support physicians as needed
- Handle billing tasks and submit insurance claims
- Ensure exam rooms and administrative areas are clean, stocked, and organized
- Contribute to a welcoming, efficient, and patient-focused clinic environment
Operations & Clinic Management Responsibilities
- Keep physician schedules accurate and up to date across both clinic locations
- Manage staff vacation requests and ensure appropriate staffing coverage
- Assist with preparing and participating in staff meetings
- Support the management team with staff performance reviews and feedback discussions
- Order and track clinic inventory to ensure adequate supplies
- Coordinate with the property management company for building-related issues or maintenanceneeds
- Address and resolve minor patient or staff concerns in a timely and professional manner
- Occasionally travel to the Vancouver clinic to provide on-site support as needed
- Monitor workflow and adjust staffing or scheduling to maintain operational efficiency
You Have
- Previous medical office experience
- Strong organizational and communication skills
- Ability to commute reliably between Surrey and Vancouver
- Comfort working independently and as part of a team
