About the role

The Infrastructure Team within the Faculty of Science is currently seeking a Full-time Regular Space and Infrastructure Technician.

The Space and Infrastructure Technician is primarily responsible for providing ongoing support to the Space and Infrastructure portfolio including assisting the team with decanting and move coordination, furniture and equipment procurement, assembly and distribution, caretaking and maintenance activities, as well as coordinating tasks for the casual staff supporting these operations. The incumbent is responsible for identifying issues and communicating with leadership and key stakeholders, coordinating move management and equipment-related activities, and mitigating impacts to building occupants where possible.

The role demands excellent communication, systems thinking, diplomacy, and problem-solving skills in an environment of constant change and competing priorities. The incumbent must act collaboratively, exercise initiative and judgment, build productive and supportive working relationships, and manage multiple priorities simultaneously. Stress levels can be high during peak periods. This position will work both independently and as part of a team, coordinating with and/or providing services to multiple teams, stakeholders and vendors. The position is service-focused with a strong relationship-building component, requiring collaboration with academic staff, Faculty-based and central units (Facilities, IT, Research Services, etc.), as well as external partners and vendors.

Reporting to the Senior Manager, Space and Infrastructure, this position is Monday to Friday, 8:30 am to 4:30 pm, operational needs may necessitate some evening and weekend hours from time to time.

Summary of Key Responsibilities (job functions include but are not limited to):

Technical Space and Infrastructure Support

  • Primary point of contact for data-to-day Space and Infrastructure maintenance and infrastructure support; responds to immediate issues.
  • Tracks and reports changes to related scope, budget, schedule and risk and collaboratively works to meet established thresholds and measures.
  • Implements the space and infrastructure resource plans of the Faculty of Science by monitoring policies and processes relating to allocation, utilization, and disposition, in alignment with University of Calgary standards.
  • Executes tasks related to infrastructure and maintenance support, move planning, and equipment support, including data collection and verification, scheduling, access and deliveries.
  • Reorganizes room furniture and contents as required to support occupant needs in accordance with Faculty of Science and University of Calgary standards.
  • Move/transport furniture, equipment and supplies.
  • Assemble/disassemble furniture and equipment.
  • Provides primary support for emergent and non-project issues.
  • Communicates regularly with identified stakeholders related to move and equipment support.
  • Maintain records and maintenance contracts, ensuring proper follow-up and budget controls are in place.
  • Participate in receiving and entering various work requests.
  • Collects and reports data on equipment and space utilization status.
  • Formal, written analysis and reporting on maintenance, equipment and move support activities as required.
  • Positive working relationships with Faculty of Science and University of Calgary partners and stakeholders to be developed and maintained.
  • Monitor and respond to email requests through the shared team email and work with team to ensure project requests are responded to within 2 business days..
  • Commitment to continuous improvement, service excellence, and contributing to a collaborative and adaptive team culture.
  • Provides back-up support for project issues.

Qualifications / Requirements:

Education

  • Postsecondary education in construction, applied sciences, interior design or architecture is required. A combination of education and related experience will be considered.
  • Project management certification is an asset.

Experience

  • Minimum of 3 years of related experience in any of: building maintenance, HVAC systems, plumbing, electrical, painting and drywall repairs is an asset.
  • Experience organizing and coordinating logistically challenging work, such as space moves and related operational tasks, is required.
  • Experience within a large organization supporting infrastructure, maintenance and/or furniture/equipment needs is required.
  • Experience working collaboratively across diverse stakeholder groups, building consensus, and supporting change management initiatives in a multi-stakeholder environment is required.
  • Experience working with Microsoft Office is required.
  • Experience working with Microsoft Teams is an asset.

Knowledge, Skills, and Abilities

  • Strong service focus, with emphasis on finding solutions that meet strategic and operational objectives as well as University of Calgary standards.
  • Must possess strong planning and organizing skills to meet challenging deadlines and able to research, develop, and recommend options, to facilitate implementation, with high attention to detail.
  • Strong interpersonal and communication skills, with the ability to maintain strong and positive working relationships with internal and external stakeholders. This role requires a high degree of professionalism, judgment, and discretion in managing sensitive information and complex stakeholder relationships.
  • Ability to track and follow through on tasks with accuracy and attention to details.
  • Strong analytical and problem-solving abilities.
  • Strong understanding of environmental health and safety requirements.
  • Ability to comfortably and safely lift 25kg and move heavy objects.
