About the role
The Learning Management System (LMS) Specialist is a responsible for the hands-on design, development, delivery and administration of learning programs through the organization’s LMS, which includes UKG Pro Learning. A key outcome of this role is to leverage this platform to its full capacity, including course deployment, user engagement, analytics, and automation. The incumbent works directly with subject matter experts (SMEs) to transform technical knowledge into engaging, interactive and adult learner-centered courses, while also managing the daily operations of the LMS during development. The incumbent is expected to be a doer – taking ownership of tasks, executing deliverables, and ensuring learning programs are built, launched and maintained to a high standard.
Please note this position can be based out of one of our offices in British Columbia, Alberta, Saskatchewan, or Ontario.
Key Responsibilities:
Instructional Design & Content Development
- Using established information (technical procedures) collaborate with Subject Matter Experts (SMEs) to personally design and build training programs, eLearning courses and learning paths within UKG Pro Learning. Ensuring the learning modules include instruction on the technology platforms and digital tools used in performing the associated work.
- Design learning experiences that are practical and engaging, using proven approaches (ADDIE, SAM, etc.) tailored to how adults learn best.
- Leverage platform features such as gamification, leaderboards, and social learning tools to drive engagement.
- Convert SME input into ready-to launch interactive courses that include quizzes, case studies, simulations and job aids.
- Ensure course content is SCORM/xAPI compliant and optimized for LMS delivery.
LMS Administration & Operations
- Establish and administer the day-to-day operations of UKG Pro Learning during setup and optimization, including user management, course organization, and assignment, with the intent to transition ongoing administrative functions to designation staff once stable processes are in place.
- Set up and monitor automated workflows to streamline onboarding, compliance, and recurring training.
- Manage integration with other UKG modules (e.g. Core HR, Payroll, Workforce Management).
- Upload, test, and publish eLearning modules and resources.
- Configure and maintain LMS reporting dashboards to track course completions and compliance, ensuring timeline distribution of accurate information to technical staff leaders.
- Provide Tier 1–2 support to learners and managers for LMS navigation and troubleshooting, driving issues to resolution.
- Maintain system integrity by regularly auditing data and coordinating with IT/vendors on system updates or integrations.
Analytics & Continual Improvement
- Generate and analyze reports on training participation, compliance, and learning outcomes using UKG Pro Learning’s standard and custom dashboards.
- Monitor course completions and certifications to support compliance audits.
- Use UKG’s analytics to measure learning return on investment (ROI) and recommend improvements in content, user experience, and system performance.
- Stay informed of emerging trends in learning technologies and instructional design and proactively bring innovative solutions forward.
- Perform other related duties as required.
What You Bring:
- Post-secondary education in a relevant field (e.g., Instructional Design, Education, Human Resources) or equivalent experience.
- Experience directly administering UKG Pro Learning (or similar enterprise LMS) is strongly preferred.
- UKG Pro certifications (if available) or prior exposure to UKG HR modules considered an asset.
- 3-5 years of experience in instructional design and/or LMS administration
- Experience in a consulting or professional service firm considered an asset.
- Demonstrated experience collaborating with SMEs to create engaging training content.
Other Knowledge and Skills:
- Familiarity with UKG Pro Learning integrations (Core HR, UKG Pro People Analytics)
- Understanding of SCORM/xAPI compatibility within UKG Pro Learning.
- Ability to leverage personalized learning paths and social collaboration tools available in the platform.
- Proficiency in eLearning authoring tools (Articulate 360, Captivate, Rise, Camtasia, etc.)
- Highly organized, methodical, and detail-oriented with the ability to manage multiple priorities from design to implementation under tight deadlines.
- Skilled in producing clear, audience-specific content that supports training, compliance, and internal communications.
- Familiarity with blended learning formats (self-paced, virtual instructor-led training, microlearning).
- Comfortable working with analytics and translating data into actionable insights
- Knowledge of adult education best practices and accessibility standards.
- Demonstrated ability to work independently and collaboratively with cross-functional teams.
- Commitment to professional ethics, confidentiality, and continuous improvement.
Working Conditions:
- Office environment that requires sitting for extended periods of time.
- Prolonged exposure to computer keyboards and computer screens.
- Manual dexterity required to use desktop and/or laptop computer and peripherals.
- Standard business hours, with occasional extended hours during LMS updates, system rollouts, or major training initiatives.
- Occasional travel to other locations (offices, project sites, or training venues) may be required.
- Frequent collaboration with cross-functional teams, SMEs, and external vendors.
- May be required to walk, stand, climb, bend forward, kneel down, crawl, reach and grasp, push and pull objects, lift and/or move up to 30 kg, sometimes over the shoulders, repetitive bending and lifting of items, along with repetitive arm movements.
