Advisor, Fleet Services - Hybrid
The Opportunity
Are you experienced in fleet management and passionate about ensuring safe, efficient, and cost-effective vehicle operations? Do you enjoy collaborating with diverse stakeholders and providing trusted advisory services? If so, we have an exciting opportunity within our Supply Chain & Fleet team.
Reporting to the Manager, Supply Chain, the Fleet Advisor is accountable for the repair, care, and coordination of the organization’s ~125 fleet inventory which consist of a mix of assigned vehicles (80%) and pool vehicles (20%). The role enhances organizational value through service reliability, cost efficiency, equitable access, and ensuring fleet safety through strong partnerships with internal stakeholders and third-party service providers.
What your day-to-day will look like:
- Administer fleet operations including mileage tracking, fuel cards, incident files, taxable benefits, vehicle acquisition and divestment, vehicle specifications, fleet inventories and establish budget, forecasts & variances.
- Coordinate and maintain official records for semi-annual fleet inspections, review deficiencies, ensure compliance for all fleet vehicles including off-highway vehicles, and manage fire extinguisher inspections through certified vendors. Coordinate maintenance for pool vehicles including estimates and vendor transport.
- Maintain and enhance our fleet KPIs dashboard, providing insights into the different metrics to identify improvements and gaps and drive policy compliance.
- Act as the primary point of contact and trusted advisor for fleet-related inquiries, providing high-quality customer service and leading communications with internal stakeholders and third-party service providers.
- Manage all fleet related contracts. Ensuring fleet vendors performance, and compliance is not compromised from our agreements, while identifying risks and liabilities and collaborating with the Supply Chain team on negotiations and sourcing.
- Administer parking allocations and assignments for Calgary Head Office, Edmonton Regional Office, and other locations as required, including coordination of parking devices and issue resolution.
- Liaise with Risk Management and Insurance and employees regarding vehicle incidents.
- Provide and track comprehensive fleet analytics aligned with manufacturer maintenance schedules to ensure warranty compliance and communicate requirements to vehicle custodians.
- Complete administrative tasks such as; purchase requisition creation, receipt of goods/services, monitoring fleet inbox, and recommend improvements and best practices to streamline the Fleet process.
What we’re looking for in you:
- Post-secondary education in fleet management or a related discipline.
- Minimum five (5) years of related experience in fleet management. An equivalent combination of education and experience may be considered.
- Strong customer service, analytical, and organizational skills.
- Proficiency in Microsoft Office Suite.
- Red Seal certification in an automotive trade is considered an asset.
- NAFA Fleet Management Association certification (Fleet Specialist or Fleet Manager) is an asset.
- Mechanical proficiency or strong mechanical aptitude is considered an asset.
Additional Information:
- All applicants must be legally entitled to work in Canada at the time of application.
- Pre-placement Medical and a fully valid class 5 driver’s license along with a positive driving record is required.
- Physical demands of this role include removal of fire extinguishers from vehicles, and removal of safety equipment on vehicles terminated or accrued.
